The body of your presentation includes your main ideas and any supporting ideas. Use it to feature testimonials, financials and fundraising info, traction and milestones, and, of course, your marketing plan.

3. Think About Visual Content

Visual content is an essential ingredient. The human brain processes visuals 60,000 times faster than regular text, so including images in your pitch is a great idea. Don't forget about videos, either. Consumers are 64 percent more likely to purchase a product after watching an online video, making visual content a good choice if you want to generate leads and boost sign-ups.

The most successful pitch decks incorporate striking visuals. Others have fancy fonts and graphics. All of this visual content demands attention from your audience and creates a cool aesthetic that will help you outrank your rivals.

At this early stage of pitch deck preparation, you don't have to finalize the images you are going to include in your pitch. However, we think it's a good idea to point out where you are going to use images in your presentation. This way, you can organize your ideas and make sure everything flows properly.

4. Understand What Makes a Good Presentation — and a Bad One

No two presentations are the same. The most successful pitch decks, however, certainly have a lot in common. When creating your outline, discover what makes a brilliant pitch. The University of Hawaii says great presentations rarely cover more than five points. The University of Cambridge in England says there should be four key points in every 45-minute presentation.

In short: this created an unfocused presentation. You could tell that there was a scatterbrained approach to writing content. When I started using outlines, the presentation felt more cohesive, and every point fell naturally into place.

But don't think that a PowerPoint presentation outline will be tossed in the trash when your presentation is finished. With a bit of creativity, PowerPoint presentation outlines can serve multiple purposes:

  • Use an outline as a slide of its own  to give your audience a sneak peek of the presentation's path.
  • Send your outline as a pre-read  with critical details to build anticipation for your presentation.
  • Print your outline  and keep it nearby to help you stay on topic while presenting.

Once you've committed to writing a PowerPoint presentation outline, you might be wondering what the process looks like. Let's learn the keys to writing a presentation outline. Then, you'll learn how to incorporate that presentation outline into your PowerPoint.

Now let's look at how to create PowerPoint outlines:

1. Close PowerPoint (If It's Already Open)

If PowerPoint is open, close the application! If it's not open, don't even think about heading for the Start menu to launch it.

That's right. The most important part of writing a PowerPoint presentation outline is to leave out the app for the time being. If you don't do this, you risk spinning your wheels and redoing parts of your presentation over and over.

You might be surprised at how much focus a presentation outline brings to the process of learning how to write a presentation outline.

How many tutorials tell you to close the app while learning how to make a presentation outline? Well, this one just did, and it's crucial to the process of writing a presentation outline.

2. Set a Presentation Goal

It's vital that every presentation has a single, unifying goal. A PowerPoint presentation is a series of slides with supporting points that all tie back to that goal.

This goal is the guiding principle for everything you write. Setting the presentation's goal is the  first  step for writing your PowerPoint outline. 

As you set your presentation's goal, it's also crucial to think about the  type of presentation that you're giving. I divide presentation purposes into three key types, each with their nuances when it comes to writing. Here are the three types of presentation goals:

  • To  educate  the audience on ideas and topics.
  • To  update  colleagues on the latest status of a critical project or event (think of a meeting at work where you share a project update, for example).
  • To  persuade  the audience to agree with and embrace your idea or position on an idea.

Before you start filling in the presentation outline, make sure that you've set this singular goal. Otherwise, you risk your presentation diverging into many ideas that don't support a common cause.

In summary, your first outline step is to  write your presentation's goal . It's that singular measuring stick that you use as you add more content. Every time you add a new slide or supporting point, ask yourself, " does this content support my presentation's goal? "

Supporting points help reiterate the presentation's goal. But you can't support the key goal if you don't define the goal! Learning how to do a presentation outline comes back to setting a goal.

3. Add Headers for the Key Sections

Now that you've set your presentation's " north star ," you can begin to block in the critical sections that support the goal. Each section should give a new angle but play a part in reinforcing the central goal.

I tend to aim for three or four key sections per presentation. Each of those sections might include multiple PowerPoint slides.

This is commonly called the " body " of the presentation. It's the meat and bones of the presentation with the content that helps you drive your key point home. Fill in a goal as you see in the presentation outline example below:

Let's walk through an example. Let's say that I'm attempting to inspire my audience to learn Power Query, a popular Excel data tool. The goal is to encourage them to action. I'll use three key sections that support the goal:

  • What's Power Query?  It's best not to assume that your audience already knows. 
  • Why should you use Power Query?  In a section like this, show the  benefit  of taking action. In this case, I'd show the audience how much faster data imports and transformations are when you use Power Query. This potential will inspire action.
  • How to learn Power Query.  Once I've given the audience a taste of the power of the tool at hand, it's essential to provide them with a " next step " as well. A few primary resources of tutorials can serve as a launching pad.

No two presentations are the same. The way that you support your points will vary based on the presentation's goal. Remember: Y ou're the presenter. It's your story to tell.

Now, start filling in the details for each supporting section. Just as we expanded on the goal with crucial sections, each  section  should have supporting points.

In your medium of choice, write several supporting sentences for each of your key sections. This gives you several points that support your idea. Use these support points to create individual slides.

4. Write the Supporting Points

"You can't boil the entire ocean... The best way to eat an elephant is one bite at a time... Divide and conquer the task at hand..." 

All these phrases mean the same thing: the best way to tackle a project is to divide it into parts. When you're creating a PowerPoint, writing a  presentation outline first is the best way to break the project into easy-to-conquer tasks.

5. Open PowerPoint and Add Your Outline

Once you've finished writing your PowerPoint presentation outline, it's time to jump back to the app finally. You've laid the groundwork for writing a presentation rapidly. Now, it's time to drop it into PowerPoint.

There are many ways to approach this task. For me, I paste the entire outline on the first slide. Then, I'll start carving that outline up, pasting the sections, and supporting points out to their slides. I use this PowerPoint outline slide to plan my presentation.

Now, start pasting those sections to their own sections. Using Outline view in PowerPoint or another tool, gradually pull your outline apart into unique sections. Instead of typing them one-by-one, just paste the sections onto new slides.

You don't have to stick with the exact text you wrote. Instead, paste the sections out and use them as the inspiration for content. By doing this, your presentation stays true to the original outline and on topic!

It might seem odd that we saved this step for last, but this approach helps you stay focused. Instead of jumping around inside PowerPoint while writing a presentation outline, consider using a separate tool.

5 More Powerful Presentation Writing Tips

Before writing your presentation outline think consider the following:

1. Have One Idea Per Slide

The minimal design in the Grey PowerPoint template make it easy to keep text minimal on your slide.

Your slides should just have your main points. If there's too much on your slide, it can be overwhelming for your audience. It can also be distracting. Instead of listening to you, your audience might be reading the text on the slide.

2. Simplify Your Sentences

Instead of having complete sentences on your slide, you can reduce text by having simple sentences.

For example, instead of saying, " When you study before a test, you will remember the material, raise your grade and be knowledgeable about the subject. " You can simplify the statement to look like this:

Simplifying your sentences, as shown above, makes it easier to follow the rules on minimizing text on your slides.

3. Have Powerful Visuals

If you want to add an emotional element to your presentation, a high-quality image is a great way to do that. If the image is low-quality or irrelevant, it can distract the audience. It’s best to think carefully about your visuals and what you want to add to the presentation.

4. Remember Your Audience

While writing your outline, remember who you’re writing for. One of the things you need to know about your audience is their knowledge of the subject you’re discussing. Are you speaking to a group of professionals who understand the terminology and the subject well? Or are you talking to a group of students who don’t know much about the subject?

You must also keep your audience in mind if you’re adding humor to your presentation. If you offend your audience, even accidentally, they'll stop listening to you.

5. Don’t Use Your Slides as Notes

Without it, you have something to share, but no guidelines to give your ideas and supporting points structure.

Here’s the thing: when you present – versus telling a story through written content or a video – you have to work harder to hold your audience’s attention. People are listening to your words .

You might have visual slides to accompany your talk. But if you lose them for even a moment , there’s no paragraph of text or video clip to fall back on. It’s just you, your slides, and them.

So, how do you design an effective story structure? You follow a formula. Remember the plot formulas you learned in middle school English class? Hook and exposition, rising movement, climax, falling action, and resolution?

So, let’s dive in – here are the formulas you can use to create the story structure for your outline design:

a) The hero’s journey

The hero’s journey starts with the call to adventure and ends with the return. Along the way, there’s some sort of initiation through trials or challenges. When you create your presentation outline, your designer can make a storyboard or map out a chart of events showing how your hero moves through those stages, changes from the experience, and comes back with a solution or better say.

Let’s take a beverage company as an example for a presentation outline. They have a new, exciting product to introduce to the market – herbal coffee. 😮 It doesn’t have any caffeine but tastes like coffee. So it appeals to health-conscious consumers who are trying to limit their caffeine intake.

Now, the company has to convince its partners – the grocery stores and coffee shops that sell their products – to stock this new herbal coffee on their shelves.

So they need a compelling story that makes their new product out to be the next hot trend in the beverage world.

  • The company is the hero.
  • The call to adventure is the need to find a caffeine-free coffee alternative that people actually like to drink.
  • Next, the storyboard design shows all the obstacles they face on their quest – the search for the right ingredients and the challenges creating a product that tastes similar to coffee.
  • The company finally nails the perfect recipe. That’s the high point in the story arc.
  • Then, as they start selling it to customers, they realize it’s a bigger hit than expected. The storyboard might include slides of graphs or charts demonstrating these findings. Or maybe quotes from happy customers.
  • The outline ends with slides of content herbal coffee drinkers and projections for how popular this new drink will be. It’s positive, inspiring, and motivates the audience to contact a representative to learn more about getting this herbal coffee on their shelves.

When to use it

The hero’s journey is a good story structure when you’re talking about a company’s history, introducing a new product, or using a personal story in a motivational presentation.

b) The fact flow

This story structure uses a combination of hard facts and interesting story points.

In your presentation outline, you’ll flow back and forth between the two to keep the momentum going. It can go something like this:

📜 Story: What if you needed to cut back on coffee for health reasons, but you don’t want to give up on the comfort you get from your daily coffee ritual?

✅ Fact : 54% of coffee drinkers say that the caffeine in coffee makes them feel anxious, and 71% believe it impacts their sleep cycle.

📜 Story: NewX Drinks (our example company) traveled to France to find the best chicory, Finland for the most nutrient-rich chaga powder, and the mountains of China for naturally harvested cordyceps.

✅ Fact : Studies show that the ingredients in our herbal coffee can help raise energy levels without causing anxiety or dehydration.

Continue alternating facts and story points until your closing slides. Finish with a wrap-up of how noteworthy this new information is, and what your audience can do next to take action based on what they learned.

When to use it:

You can use this formula for almost any type of presentation. It’s a good fit when you have a lot of statistics, quotes, and other facts to weave into your presentation.

c) The how-to

When your presentation is educational, use the how-to story formula to organize your ideas.

The how-to is linear, which makes it perfect for when you are showing how to get from point A to point B.

The beginning of the outline design shows the current situation and your end goal. Then, your subsequent blocks or storyboard cells illustrate each step someone needs to take to get from that starting point to the endpoint, whether the objective is to learn a new skill or how to resolve a challenge.

For example, if you want to show your team how to protect their work devices from hackers, you can prepare a how-to style presentation to depict:

  • The current situation – existing cybersecurity threats
  • The end goal – a cyber-aware workforce
  • Steps to get there – different cybersecurity best practices, like multi-factor authentication and recognizing phishing emails, how to use them, and the impact taking these steps can have
  • Obstacles and challenges along the way – stats or case studies showing how sophisticated hackers are becoming and how complex the threat landscape is

Any time you want to demonstrate how to use a product, follow a process, or resolve a problem, you can use the how-to formula. It’s useful for employee training presentations and any scenario where you are teaching your audience how to do something.

d) The solution pitch

Want to make your solution seem irresistible to stakeholders? Use the solution-pitch formula to create a presentation they resonate with.

The goal here is to set up your storyboard so your audience can see themselves in the situation. They should walk away with a clear sense of the immense benefit they’re in for if they get on board with your idea or product.

Here’s how the formula works:

  • The first cell of your storyboard should lay out the initial environment and circumstances where the audience’s problem exists. You can use a fictional product user or a past client to set the scene.
  • Next, dig into the problem – why does your hero need to solve this problem? Why won’t it go away on its own, or what will they gain by overcoming it?
  • Build the story arc by hinting at a solution.
  • Create tension by offering different ways to solve the problem, presenting your idea or product as the best option.
  • Close with a deep dive into why this is the best choice, why that is, and how much better off your audience will be with this new product, investment, or idea in their court.

The solution pitch is a good fit for sales. But it’s not just useful when pitching to prospects. It’s also useful when trying to get investors or executive decision-makers on board with your great idea.

3. Expand with visual content

Visual content helps tell your story. Well-designed data visualizations, images, animations, and other visuals play several critical roles.

  • Holds the audience’s attention for longer
  • Creates emotional connections and makes your presentation more relatable
  • Further develops the points you make
  • Achieves a sense of consistency that makes it easier for your audience to follow along

So how do you pull all these benefits into your presentation?

You guessed it – by integrating your visual content into your outline design.

There are different ways to do this:

  • Include sketches or other starter visuals in your outline design. Then, your designers can create all of your visual content for your final presentation.

First, put all your components together in your outline

There are three ways to build your outline format:

Purpose of a presentation

It’s good to remember what you want your presentation to do: share information efficiently and in an aesthetically pleasing manner. But it’s also important to keep your slides from distracting your audience. Keep that in mind while you’re designing. It’s easy to get carried away, and that results in presentations that are hard to follow. Let’s look at how to avoid that.

How to make a presentation

Step 1: outline your presentation.

Before you start designing, you need to know what you’re going to say. Starting with an outline helps you get a good idea of the text you’ll be using on your slides, as well as the visuals that support your ideas. If you don’t know the information you’re going to present, it’s difficult to choose design elements that support it. So, spend some time thinking about your main points—you don’t need to get everything down, but make sure that you cover at least three main ideas for your presentation.

Step 2: Think about tone

The tone of your presentation has a strong effect on your design decisions. If you’re going for a business-like tone, for example, you might not choose a flowery theme, and you might use more jargon and complicated terms. If your presentation is going to be light, airy & funny, you need to know that up front so you can make the right decisions along the way. Don’t be afraid to use a tone that’s different from what you might think of as “normal.” Business presentations can be informal, boring subjects can be made entertaining, and experience can be shared in novel ways.

Step 3: Choose a palette

With your outline and tone figured out, you can move on to design. First, you’ll want to decide on a color palette. Choose one or two main colors, and two or three secondary colors, to use in your slides. It’s good to use the basics of color theory to mix colors (hint: Adobe’s Kuler tool is a great way to discover color combinations). And keep your tone in mind; if you’re aiming for a fun, energetic feel, warm colors will suit your presentation well. If you’re aiming for a more professional tone, blues and grays might be more appropriate.

Step 4: Emphasize one point per slide

This is where many of us go wrong. Too often, we include tons of information on each slide—and sometimes end up reading from the slide instead of speaking extemporaneously. This is a recipe for a boring and forgettable presentation. Think of slides more like your notes: each slide should focus on a single idea and contain no more than a few lines of text. This ensures that your audience focuses on you, that you focus on your audience, and that you remind yourself of the main points you’re trying to get across. Seth Godin says you should have no more than six words on a single slide. Challenge yourself to meet this guideline.

Step 5: Make it visual

Appealing to the emotions of your audience will leave a strong impression and help them to remember what you said. Words are great for inspiring emotion—but pictures are much better. We strongly recommend using professional stock photos, like those from Unsplash or Pexel. You can use other visuals, too. If you’re emphasizing the growth of a particular value or figure, a simple chart will impress upon your audience just how much growth you’re talking about. As with words, keep your graphics simple and to-the-point.

Create a PowerPoint presentation from an outline

If you've already jotted down an outline of your presentation in Word and now need a quick way to add it to your slides, you can import a Word outline into PowerPoint.

Your browser does not support video. Install Microsoft Silverlight, Adobe Flash Player, or Internet Explorer 9.

Create an outline in Word

Select View > Outline . This automatically generates an outline and opens the Outlining tools:

If your document has headings (any heading levels from H1-H9), you’ll see those headings organized by level.

If your document doesn’t have headings and subheadings yet, the outline will appear as a bulleted list with a separate bullet for each paragraph or body text. To assign or edit headings, heading levels, and set up your document structure:

Select a bulleted item. Or press the Ctrl key to select several lines. 

In the Outline Level box, select a heading Level 1 for slide titles, Level 2 for bullet points on that slide.

When finished or to edit your document, select Close Outline View .

If you need help creating an outline, see Create an outline in Word .

Save an outline in Word

To save your document, select Save , name your file, and then select Save once more. Select Close to close your document.

Note:  Your Word document must be closed to insert it into a PowerPoint presentation.

Import a Word outline into PowerPoint

Open PowerPoint and select New Slide >  Slides from Outline .

In the Insert Outline dialog box, find and select your Word outline and select Insert .

Note:  If your Word document contains no Heading 1 or Heading 2 styles, PowerPoint will create a slide for each paragraph in your content.

Guidelines for importing an outline

PowerPoint can import an outline in .docx, .rtf, or .txt format.

If your outline is a Word document     Apply a heading format to any text you want to include in a slide. For example, if you apply the Normal style to a block of text, Word won't send that text to PowerPoint.

If your outline is a .txt file     Use indentation to indicate heading levels. Any unindented lines of text will become titles of new slides.

For PowerPoint to successfully convert your outline to slides, you must follow these guidelines:

If your outline is a Word document:

Apply a heading format to any text you want to include in a slide. For example, if you apply the Normal style to a block of text, Word won't send that text to PowerPoint

Save the Word document as an .rtf file. In PowerPoint for macOS, you can only import Word documents that are saved in Rich Text Format. Click File > Save As , and in the File Format box, select Rich Text Format (.rft) ).

If your outline is a .txt file: Use indents to indicate heading levels. Remember that any un indented lines of text will become titles of new slides.

Insert outline text into a PowerPoint presentation

In a new PowerPoint presentation file, click the first slide. Or, in an existing presentation file, click the slide that you want the outline to appear after.

On the Home tab, click the arrow next to New Slide , and then click Outline .

Inserting an outline in PowerPoint

Locate the outline file (.rtf or .txt) that you want to insert, and then double-click it or click Insert .

New slides are inserted in the presentation based on the text in the outline file you selected. You are now ready to edit the slides and the presentation as you see fit.

Creating a presentation from an outline isn't support in PowerPoint for the web. It requires a desktop version of PowerPoint.

Is it easier to separate the correct pieces before you start building?  Or is it better to search in a big bucket with mixed parts for every new piece you need?

We’re pretty sure you will pick the first option.  In the beginning, it might seem like this option would take longer, but the opposite is true.

The first step to a successful presentation structure is to brainstorm your ideas and combine them into a rough draft. But first, consider the message you want to relay to your audience.

The Message

What is the message you want to convey with your presentation?

A good starting point is to decide if it will be informative, entertaining, inspiring or persuasive.

In a business setting, you might want your presentation to do two of these things: inform and persuade. If you are a mindset coach for companies, then you might want to entertain and inspire.

The main message should be easy to grasp from the title on your first slide. Think of an appropriate way to word what you want to give your audience in one or two sentences. This can of course be changed later, but having a preliminary title will help get your ideas in order for what comes next.

Once you know which direction your presentation will take, it’s time to jot all your ideas down on paper to create an outline and rough draft of all the points you will cover.

Now that the brainstorming and rough draft are out of the way, it’s time to start structuring your presentation. This is when we introduce the storytelling aspect into the equation.

All the information you have gathered and organized in your rough draft now needs some attitude to really get your message across.

We are going to look at 7 different styles of storytelling structures that work great for presentations. They all have a different style of delivery and cadence. Choosing one for your presentation will depend on your message and who your audience is.

Fact and Story

The first structure we will look at is Fact and Story . The premise is that the presentation moves back and forth between facts and stories.

Presentation guru Nancy Duarte wrote about this presentation structure in her book " Resonate ." She suggests that mixing storytelling with the relay of facts can help your audience stay interested until the end of your presentation.

According to Duarte, this type of structure should start off with an initial setting of the present reality: the “what is.” From there, an invitation to adventure is presented and the first instance of “what could be” is told as a story to illustrate how the initials facts can be improved.

This comparison of presenting the facts as what they are at the present moment with stories that show how things could be improved is what keeps your audience interested and waiting for more.

The conclusion should end at a high point, considerably higher than where it began. The audience should feel like they learned something and, at the same time, inspired to change.

This structure maintains a level of suspense and excitement, perfect for presentations that need to inspire AND inform.

This TED talk by David McCandless about the The Beauty of Data Visualization is a perfect example of the Fact and Story structure. He presents a collection of data visualizations which he created himself, along with a story of why he chose each particular set of data.

The topics he chose were extremely relevant to our present day and the audience related to all of them. The personal stories added to the intrigue and the audience left feeling like data visualizations are not only beautiful but also quite important.

The Explanation

According to Gavin McMahon, co-founder of fassforward Consulting Group , the presentation structured labeled as The Explanation is meant to teach new insights and abilities.

Its main purpose is to inform about a process or plan to either fix a problem or learn something new. A good way to incorporate storytelling into the structure is to show the progression of the facts along with the progression of a story.

The presentation progresses in an upward motion following these steps:

  • The Lay of the Land shows how things stand right now, what the destination is and how you plan to get there. The point is to get the audience excited and on board as quickly as possible by showing them the entire process straight up. Tell a story that relates directly to the introduction. Better yet, start with a story.
  • The Roadmap is a visual map of how you will get to the final destination and reach the resolution. Set the audience on the right track.
  • The First Step begins the adventure to get where you want to go.
  • T he Next Steps is the middle section of the presentation, where all the steps are laid out one by one.
  • Almost there is the catharsis where you look back at how much has changed and progressed since the first step.
  • The Arrival is the celebration of the end of the journey. The audience should feel like they have learned something new and gained new knowledge.

The Explanation structure can be used for presentations by consultants that want to teach new ways of doing things inside a company or department. It could also perfectly fit in a sales meeting where a presenter can explain their process of a masterful sales plan.

This TED talk by Amy Cuddy about how your body language shapes who you are is a great example of an Explanation structure. She tells us about her experiment on power poses and how they can affect the outcome of a difficult situation.

The presentation starts off with a discussion on the natural animal and human condition of power and ends with a personal invitation to change your life with a 2-minute practice of power posing.

If you are a lover of the show "Grey’s Anatomy," this is the idea behind the power pose that the neurosurgeons do before a big procedure.

As you know, a pitch in the business sense is when a presenter uses the power of a presentation or speech to convince the audience of something he/she believes will improve a system or solve a problem, according to Gavin McMahon, co-founder of fassforward Consulting Group .

The Pitch presentation structure is like a climb uphill that takes you over a hurdle and on to a positive resolution.

It shows how the presenter’s idea can really improve a situation. By using a real and relatable story, the pitch makes more sense and feels more important.

  • The Wind Up is a quick summary of what’s going on right now to presents the facts in a way that is easy to grasp and relatable to the audience.
  • The Hurdle presents the problem that needs to be solved . Relay the problem with a story so that the emphasis is doubled.
  • The Vision presents a glimpse into the main idea on how the problem can be solved.
  • The Options is the moment when two different options are laid out as possibilities to solve the initial problem. The idea is to give an average option first, followed by a great option second. If there have already been tests and experiments to prove these facts, then these are the story.
  • The Close is the point where the ideal option is presented as the best and only option.
  • The Fine Print tells the audience exactly how the problem will be solved, the steps that need to be taken and the tasks to be resolved.
  • The Hook is the uplifting conclusion to the presentation which relays an added bonus to the solution of the problem.

Use The Pitch presentation structure when you want to convince someone that your idea is the best for their problem. This structure also works when a new startup is looking for new funding or sponsorship opportunities.

This TED talk by Enric Sala about how to turn the high seas into the world’s largest natural reserve is a great example of a Pitch structure. He starts off with a story of how a group of fishermen revived an area of the ocean by stopping all the fishing there and turning it into a natural reserve.

Ten years later, that piece of ocean makes more money from scuba diving tourism than it ever did from fishing. He continues to talk about the same problem at a larger scale, the diminishing supply of fish and the destruction of the oceans.

His pitch to solve the impending problem is to turn the high seas into a natural reserve. He finishes by telling the audience that the plan is being pitched to the UN and that every individual can help their country abide by the new agreement if it goes through.

There is a well-known structure in literature called “The Hero’s Journey” which follows the plight of a main character from the beginning of a story to the end and leaves the reader feeling like they've learned a lesson they will never forget.

This type of presentation structure, The Drama , has a strong storytelling aspect. This is often used to tell the story of an influential company from founding days, through trials and tribulations, and then finishes with an inspiring show of success.

Another perfect presentation for The Drama structure is an inspiring personal story.

These are the steps of a Drama style presentation structure:

  • One Fine Day . The introduction sets the stage with a situation where things are not perfect but just average. Imagine as if it were the first page of a book, where the setting is laid out and the audience gets an idea of a time and place.
  • The Challenge. Suddenly a problem appears that can’t be ignored. The things that need to be solved are presented as a challenge.
  • Descending Crisis . At this point, the problem is attacked head on but things gets worse until it hits rock bottom.
  • Rock Bottom. When all seems lost and everything is at its worst, the story arrives at a standstill. As an added bonus, the presenter can pause for effect.
  • The Discovery . This is the moment when a glimmer of light shows up and there is a discovery, a new way of resolving the problem.
  • The Rise . By discovering new abilities, the problem can be tackled in a positive way.
  • The Return . Not only are the problem and challenge resolved, the character and the audience break through and reach an unexpected happiness threshold, opening the world to a whole new range of possibilities.
  • The Lesson . The conclusion is reached with an unforgettable lesson and resolution. The audience will feel inspired, informed and entertained.

This TED talk by Adam Driver about his journey from Marine to actor is the perfect example of The Drama structure.

He begins the story by telling the audience about what his life was like before he joined the Marines and what drove him to do it.

He tells how the Marines became his family, and closest friends. Then, right before deploying to Iraq or Afghanistan, he had an accident that separated him from the Marines for good.

He continues to explain how he went on to become an actor, followed by the creation of his project to unify theater with military service.

His talk ends with an example of the theater pieces he coordinates to be presented at military camps. Listeners are left with their hearts full of a newfound hope for humanity.

Situation - Complication - Resolution

According to Gavin McMahon , co-founder of fassforward Consulting Group, most presentations in the realm of B2B sales and business consultancy follow the Situation - Complication - Resolution structure. It is a three-element storyline linked by the words  but  and  therefore .

The starting point is The Situation , where current conditions are shown in an unbiased and transparent way. The situation connects to the next step through the word but .

A simple example: Our home decor company is selling pretty well this month, but…

This is when The Complication is presented.

In the above example, it could look something like this:

Our home decor company is selling pretty well this month, but  … we have been spending too much on international shipping.

When presenting The Complication , use facts to prove it. Present it as the challenge that needs to be overcome. The Complication is a low point, but from a low point we can only go up.

The final destination is The Resolution , which is connected to The Complication with the word, therefore .

Our home decor company is selling pretty well this month, but we have been spending too much on international shipping. Therefore,  we need to start using a new company that has a better price range and great service.

Back up all of your information with real facts and proof.

Situation - Opportunity - Resolution

A similar structure to the one above, the Situation - Opportunity - Resolution  replaces  Complication with   Opportunity . This three-part structure is also joined by the words  but  and  therefore .

The difference is that instead of the movement going down and then up, it goes slightly up and then levels out.

This structure is perfect when you need to show that something is not that hard to fix; that the problem might not be so big after all and that the solution is easy to grasp.

A presentation that follows this structure could turn out to be quite short, if only the facts are presented, but that would leave the audience feeling like “is that it?” Adding an interesting story to help the audience relate makes the overall presentation more effective.

This TED talk by Adam Galinsky about how to speak up for yourself is a perfect example of the Situation - Opportunity - Resolution presentation structure. He starts off by saying: “Speaking up is hard,” and instantly everyone in the audience can relate.

He gives a few personal stories about times when he should have spoken up and others when he shouldn’t. He gives contextual proof and explanations about how sometimes we feel powerless, other times powerful, and how this affects if we speak up or not.

His solution to the problem is not a huge effort but rather a personal mindset change. The presentation ends with an inspiring quote by the speaker’s father which leaves the audience feeling like they will know exactly when it’s the perfect time to speak up, or not.

Hook, Meat and Payoff

This presentation structure, like The Drama, is deeply founded in the art of storytelling. While the Hero’s Journey is more of a literary technique,  Hook, Meat and Payoff is more like a spoken-word progression.

The idea is that with the Hook , the presenter gives the audience a sense of place and time, plus a situation that will put them at the edge of their seats, wanting more.

The Meat is the middle section and usually the longest part of the presentation where the story progresses and all the information is relayed in an interesting and inviting way.

The Payoff is the inspiring conclusion that circles back to the beginning and leaves the audience feeling inspired.

It's like when you come out of the movie theater: You feel better about yourself and the world around you, as if you've learned something important that will make your life a little better.

This TED talk by Jill Bolte Taylor about her stroke of insight is a perfect example of a Hook, Meat and Payoff presentation structure.

One of the most famous TED talks of all time, this presentation starts with her personal story of the time she suffered a brain hemorrhage and stroke.

She is a neuroanatomist; she studies brains for a living. Her experience of having a stroke is one of the deepest stories you'll ever hear about the union between science and spirituality.

Her presentation hook, a real human brain which she shows to the audience, very much grabs your attention. The meat of the talk is also entertaining and interesting; she has the audience laughing and crying right along with her.

In the end, she recounts the moment when she felt her body die and then woke up feeling like she was a different person. She had lost all capacities with the stroke, and it took her eight years to learn to talk and walk again.

The Payoff is her invitation to everyone to feel like they have Nirvana at their fingertips, that being conscious of the world around us is not an impossible task.

Make a Storyboard

Now that we've looked at the seven different ways that you can structure your presentation with storytelling techniques, it’s time to make a storyboard.

A storyboard is what film makers use to set up the structure of their movie before filming it. It is created with the help of the screenplay, following the flow of the story. Each rectangle in the storyboard is a scene in the film.

Presenters use this process of storyboarding to set up their presentations because it really helps with productivity. A storyboard is essentially a visual draft of your presentation.

(A note for the “un-artistic”: Don’t worry about things looking amazing right now! Uneven squiggles and weird shapes work the same way as perfect squares. The designed and finished look will come later when you set it all up in the Visme editor.)

As you add the story aspect to your presentation, make sure you don’t get too wordy and try using visuals instead of too much text. Use one or two sentences at most for each slide.

The best way to make a storyboard is with index cards, using each card as a slide. You can add things or easily take them away before you even start to design the final draft.

If your presentation is meant to be seen on its own, online or sent as a scrollable PDF, there might need to be more text than on a visual presentation which accompanies a speech. You can try animating the text so it's not just a big block of words.

Using audio also helps, but if the viewer has their computer on mute, they might miss it. Make sure your first slide gives the instruction to turn up the volume.

If your visual presentation is going to be used as a backdrop for a speech, you can forgo some of the text and make it more visual.

Remember to rehearse your speech along with the slides so it all flows seamlessly. TED speakers suggest you rehearse a spoken presentation at least 10 times until it flows naturally.
