When You Should and Shouldn’t Use Prezi

So, when should you use it? To get the best use of Prezi and it’s unique canvas/zoom functionality, we suggest using it for when you have a high level idea to present; maybe a one off motivational speech or ‘Celebrating 50 years’ presentation where you’d like to show a company history/progress on a timeline. Prezi doesn’t work so well however, when you have data and copy heavy slides to present, like in your sales presentation, marketing plans and training material. Here we suggest using a traditional presentation tool, such as PowerPoint or Keynote.

At the end of the day though Prezi is also just a tool! Whatever you choose to use, remember to have a story, don’t clutter your slides, use imagery and rehearse.

Prezi is a presentation app known mostly for its style of zoom navigation and a “slideless” design. The core concept of creating a presentation with Prezi is that all sections are connected and the presenter can zoom and navigate between them seamlessly.

This style of presentation is unique to Prezi and it’s their way of standing out above PowerPoint. Even though the zooming feature sounds complex as an idea, its ease of use is impressive, especially when following a template.

Microsoft PowerPoint is the presentation software in the Microsoft Office Suite.

It has long been the most sought out software for creating presentations in both business and education. So much so that its overuse led to the term “Death by PowerPoint”.

The downloadable desktop app for Microsoft PowerPoint works seamlessly on both Mac OS and PC with Windows.

Let’s take a look at some of the advantages and disadvantages of the Prezi presentation software.

Advantage #1: Non-Linear Navigation

The first advantage of Prezi is the zoom and overview feature.

The signature navigation in Prezi offers a unique perspective for creating and viewing a presentation. Instead of adding one slide after another, a project is created in sections.

There is the main menu slide and the presenter or viewer can navigate back to it at any time. This Prezi advantage is particularly useful for presentation creators that are tired of the usual way.

Advantage #2: Integration Support

The second advantage of Prezi is the long list of integrations. Prezi can be connected to other apps like Slack, Zoom, and Google Meet. These integrations make it easier to share and present Prezi projects with teams and collaborators.

Advantage #3: Low Cost

The third advantage of the Prezi software is its low cost.

The free version is great for students that need the bare necessities for their projects without too much fanfare. The paid plans start as low as $3/month.

Disadvantage #1: Confusing Layout

Interestingly enough, Prezi’s first advantage is also a disadvantage. The frequent zooming in and out movement can be a bit overwhelming for some. Also, a Prezi presentation shared on its own can be confusing if the viewer doesn’t know how to navigate the functions.

Likewise, for the creator, it can be easy to go overboard with zooming navigation. If the slides and sections aren’t organized and easy to follow, it can be difficult to present cohesively.

Disadvantage #2: Paid Offline Access

The second disadvantage to Prezi is that if using the free or lower-tier versions, presentations depend on the internet to be viewed.

Slow internet speeds can make a Prezi almost impossible to navigate. Offline access is only available in the paid subscriptions.

Even though there are some charts and graphs options in Prezi, they aren’t fully customizable or editable for a personalized look and feel.

The first advantage of PowerPoint is its widespread use. Pretty much everyone knows how to open, use, view and edit a PowerPoint presentation. That makes it easy to distribute and share with team members and collaborators.

Advantage #2: Rich Multimedia Features

The second advantage of PowerPoint is the rich features for using multimedia in presentations. Users can add video, audio, voice-over and animations to keep viewers interested and engaged. These features help add a good dose of visual impact to presentations.

Advantage #3: Plenty of Templates

The third advantage of PowerPoint is a large number of available templates. Not exactly within the software itself but mostly through third party sites and marketplaces. Since PowerPoint has been the long-standing favorite in presentation makers, there are templates for every style and purpose.

Disadvantage #1: Death by PowerPoint

The main disadvantage of PowerPoint is the coined term “Death By PowerPoint” and the meaning the term carries along with it. It’s not uncommon to hear people say things like “not another PowerPoint!”, or “I fell asleep during the PowerPoint”.

This reputation was the catalyst for many presentation makers to offer different and more creative solutions.

Disadvantage #2: High Cost

The second disadvantage of PowerPoint is the ongoing cost of the Microsoft 365 Office Suite. Users can obtain PowerPoint on their own but the cost is high.

As part of the full package with Microsoft 365, it has a monthly fee. Buying the Software on its own doesn’t come with storage like with the Suite.

Disadvantage #3: Compatibility Issues

The third disadvantage has to do with how long PowerPoint has been around. It can happen that the software used is from an old computer and then it’s not compatible with newer media. Or the newer version of PowerPoint won’t open on older computers.

For example, if you want to collaborate on a PowerPoint and need to upload it to their cloud, a PPT file won't work. It needs to be a newer version like PPTX.

Both Prezi and PowerPoint have many features on hand to help presenters create engaging slide decks. But in both cases, there are some features that stand above the rest. The one thing that makes the software a favorite among its users.

Prezi Feature #1: Zoom Navigation

The best and most notorious Prezi feature is Zooming navigation. Prezi created this feature as a differentiator from PowerPoint and other presentation makers.

Creators can design slides into groups or sections which are organized in the main menu on the first Prezi slide. The presenter can then navigate through a section and to the next or using the back button to return to the main slide.

When creating a Prezi presentation, this feature can’t be turned off. It’s ingrained in the program so creators must be sure that they want this style of presentation to begin with.

Prezi Feature #2: Prezi Video

Prezi recently added an integrated video feature to their software.

Prezi video is like a regular Prezi presentation with the difference that the background is the live video of the presenter. This feature is great for live webinars, meetings and courses.

To create a Prezi Video, users do have to use a different app in the Prezi Suite but can use already created Prezi presentations and simply integrate into Prezi Video.

Prezi Feature #3: Integrations with other Apps

Prezi has a number of practical integrations to share presentations in different ways.

PowerPoint Feature #1: Microsoft Toolbar

Microsoft Office Suite software like Word and Excel have similar toolbars to PPT and this makes it easier for users of all three programs.

PowerPoint Feature #2: Layout Themes

PowerPoint Feature #3: Export to Other Apps

Powerpoint presentations can be exported to use in other presentation makers.

Prezi is one of them. A PowerPoint presentation inside Prezi must be adapted to fit the zooming navigation by grouping slides into categories.

A PowerPoint presentation can easily be opened as a Google slides presentation with hardly any difference in editing features. This will work better on a Chrome browser.

For Prezi users, using a template is always the best choice. This way, the navigation has already been optimized and only the content needs to be updated.

Like many of its competitors, Prezi also has a large number of third-party templates to choose from. These are available on sites like prezibase.com and creatoz.eu.

On these sites, creators will find thousands of Prezi templates in many different styles and designs.

PowerPoint Templates

The templates available inside the PowerPoint software have been the same for years and feel a bit outdated. There are no more than 24 legacy templates that even though are a bit old, still help create presentations faster and easier.

Aside from Pre-designed presentation templates, PowerPoint also offers Theme layout options to pick and choose at the user’s discretion.

Additionally, when a presentation is created from scratch, the software offers “Design Ideas” with pre-designed slides in a scrollable bar to the right of the editor.

PowerPoint templates are available on many sites online. On Envato alone, there are over 1000 ready-to-use templates in many different styles and for different industries.

Given how there are so many PowerPoint templates on third-party sites, it's easy to understand why Microsoft doesn’t create more templates to add to their PowerPoint program.

Moving on to the cost of each presentation software. Let’s take a look at the different options for both presentation apps.

Prezi Pricing

The pricing on Prezi is much like any online app, there are options to choose from according to the industry or need of use.

The monthly plans, apart from the Free basics, start at $3/month and can go as high as $59/month and prices for teams and enterprises are on demand.

Pricing groups are separated into basic, individual, education, and business.

PowerPoint Cost

PowerPoint usually comes as part of the Microsoft Office suite, now called Microsoft 365. The monthly fee starts at $6.99/per month and increases depending on users and team needs.

Buying the software on its own costs $139 and doesn’t come with cloud storage.

Online vs Offline Performance

Presenting online and offline is a bit different between the two software. Let’s take a look at how they are different and how each software manages to present online and offline for their users.

In both cases, if the presentation is rich in interactive media and large photos, a slow connection will definitely slow down performance if viewed online.

In general, offline access is available on a limited basis.

Prezi Performance

Prezi works only online when using the basic free plan. On paid plans, users have the option of a downloadable desktop app to create and present their slide decks offline.

If they send the presentation as a link to be watched by someone else, the viewer will need a good internet connection to view it.

Additionally, there’s also the option of Portable Presentations, which can be downloaded to view offline and can be sent in an email and downloaded or through a memory stick.

Prezi users also have the option of using the Prezi Viewer Mobile app to present their projects with collaborators and team members.

You get both online and with offline access once the app has been downloaded. Prezi Viewer is available for iPad, iPhone and Android devices.

PowerPoint Performance

As PowerPoint is downloadable software, presentations can be created offline without the need for an internet connection. They can then be shared online or via a memory stick and easily presented or viewed offline as well.

PowerPoint functionality is best when used offline but there is also an online version of PowerPoint in the cloud called PowerPoint Online.

Additionally, PowerPoint presentations can be viewed on an iPad with iOS or an Android device. There's no mobile app functionality to create a presentation on an iPad or mobile device, but they're perfect for viewing.

Teamwork & Collaboration

Most Presentation software these days offer teamwork and collaboration features.

Working on presentations together is important for business and education. Let’s take a look at how Prezi and PowerPoint compare to each other in terms of collaboration.

For team members to work together on a Prezi Presentation, they all need to have their own account or be part of an Enterprise account with different user logins.

The owner of the presentation can share the project with no more than 10 people at once. They need to be granted editing rights via the same email they use to log in to Prezi.

Collaborative editing on Prezi can be seen in real-time. This means that one user can see what another is working on and vice versa. Content from any other Prezi can be added to a group Prezi easily as well.

Apart from being able to edit together, collaborators can also leave comments in small post-it type notes.

Collaboration on PowerPoint is possible but needs a bit of preparation.

For a PowerPoint presentation to be editable as a team, it first needs to be uploaded to OneDrive or SharePoint Online for Microsoft 365. From there, collaborators can be added via their email.

Users can see when team members log into the presentation to make changes and can see what they are working on. If changes were made while a user isn’t logged on, they get a notification that changes have been made while they were away.

Storage & Backup

Losing a presentation after you’ve worked on it for a long time is never fun. Thankfully, most presentation software has storage and backup features, either on your own computer (Mac or PC) or as cloud storage.

Both free and paid Prezi accounts have unlimited storage for created presentations.

Uploaded media storage is larger in bigger plans. For example, free and small plans can’t upload videos to their presentations. Larger plans offer that and the storage to keep the videos in the media library.

Since PowerPoint is desktop-based presentation software, all your presentations are media are stored on your computer. Alternatively, you can store all your PowerPoint files and presentations in Microsoft OneDrive.

A Microsoft 365 subscription comes with a 5GB cloud storage plan that can be easily upgraded via the subscription page.

Embedding features for presentations go both ways. In some cases, you can embed third-party content into a presentation and you can embed a finished presentation into a website. Let’s take a look at how Prezi and PowerPoint compare.

Prezi presentations don’t have the ability to embed third-party content inside slides with I-frame or integrated apps. Their new app Prezi Design does offer iframe embedding but taking these designs to a Prezi presentation is not seamless.

Alternatively, you can easily embed a Prezi presentation into a webpage with a snippet of code.

Content can be linked or embedded easily into PowerPoint slides, either through the linking or embedding features. First of all, any content created on other Microsoft 365 software is easy to add to a PowerPoint presentation.

Excel charts for example can be added as live data. As long as the data is kept on your machine or OneDrive folder, the PowerPoint presentation will show the changes if it’s also uploaded to OneDrive.

Embedding a PowerPoint presentation into a website is just as easy as with Prezi. All that’s needed is an HTML embed code. Copy and paste into a webpage or blog.

Is Prezi More Effective Than PowerPoint?

Both Prezi and PowerPoint have their own advantages and disadvantages. The question if Prezi is more effective than PowerPoint is relative to your own needs. Prezi’s unique zooming feature will make your presentation instantly recognizable as a “Prezi”.

Likewise, a PowerPoint presentation with too many transition features and excessive use of animation will be recognized as a PowerPoint presentation.

When it comes to choosing between Prezi and PowerPoint it mostly comes down to what style of presentation you want to deliver. More so, each tool has particular features that the other one does not.

For example, you can’t embed third-party content into a Prezi and PowerPoints already have a bad rep with the whole “Death by PowerPoint” situation.

In the 1990s PowerPoint reigned supreme. Truth is, there weren’t many options to compete with. Microsoft Office had made one of the very first presentation programs, and it remained unchallenged for a long time. But times have changed, and now there are quite a few presentation tools to choose from. Prezi, founded in 2009, is one of its bigger competitors. It promises to catch your audience’s attention and to take your presentation to the next level with its unique features and “open canvas” approach. Both of these options can work wonders in a presentation. So, the question is: in the competition of PowerPoint vs Prezi, which one should YOU be using?

5 Basic Technical Differences between Prezi and PowerPoint

Let’s start comparing some basic characteristics. These may seem like some secondary issues compared to the design features. But it is important to think thoroughly what you’re planning to use your presentation tool for. For example, if you have to work on a team often, a collaboration option could be a key factor when deciding which one to use.

Is Prezi free? What about PowerPoint?

PowerPoint, as most people probably know, comes as part of the Microsoft Office Package. Many times computers come with a free trial version of Microsoft Office’s Services, so many times people may think it’s free. It is definitely not! Microsoft Office has two main purchase options . One is the one-time purchase, that includes only the basics (Word, Excel, and PowerPoint) and it’s $119. The other is a yearly subscription, which costs $79, but includes much more. Microsoft Office also has three “Business” plans, from $5 per month to $12.50 per month.

Prezi, on the other hand, offers only an online monthly subscription . It has different plans, depending on the features each one offers, so think carefully which might work better for you. The good thing about Prezi is that it has a basic subscription that is absolutely free. Other plans start from $5 a month, up to $59 a month for Premium access.

So, PowerPoint vs Prezi, who wins in pricing? If the basic plan is good enough for you, the Prezi is the clear winner. However, you probably already have some kind of Microsoft Office installed on your computer, so PowerPoint is a good option for almost everyone. Especially if you decide if Prezi’s basic plan is not good enough for you.

Sharing and Collaborations

Sharing presentations on Prezi is extremely easy since all your presentations will be online. You just need to copy your presentation’s link and voilà ! You are free to share your presentation with whomever you choose. In the case of PowerPoint presentations, they are saved in your computer’s memory. You can share them through email or any kind of storage device, like a USB stick, for example.

However, depending on how long and how many pictures or videos your PowerPoint presentation has, it might be too big to share through email. In those cases, you can always share it through any kind of cloud storage, like Google Drive, or Dropbox. Another option is to upload them to SlideShare . This will allow you to have your presentation online, just like with Prezi. But once on this platform, you’ll not be able to edit it any longer, so make sure you uploaded your latest version!

What sets Prezi really apart in this area is the fact that it allows you to add collaborators. For those who work on team projects, the fact that PowerPoint doesn’t allow this could be a potential deal-breaker. If you want several people to be able to edit a presentation on PowerPoint, you’ll have to send them the presentation to all of them, allow them to edit each on their own version, and then ask them to send it back. Then you’ll have to compile together all the changes in a new document, and so on. Of course, for a project that requires several people editing and creating changes continuously, this is not practical at all.

In the last years, PowerPoint has added the “share” option, which makes it possible to add collaborations and sync changes. This, however, is only available for Office 365 Subscribers. Prezi easy collaborations feature, that only requires all the participants to have a Prezi account (even just the free one), wins by far.

Can PowerPoint or Prezi be edited online?

On matters of offline access, PowerPoint and Prezi are complete opposites. PowerPoint is a software created to work completely offline. Prezi, on the contrary, is an online tool. Both these accessibility features have pros and cons. To have access to PowerPoint, any person you try to share it with should also have the program installed to be able to view it. But in the case of Prezi, there is little you can do if for some reason or the other you find yourself without an internet connection. The positive part of each is, obviously, that most people you’ll share your presentations with will probably have both PowerPoint and access to the web.

Privacy Settings

This one may seem like a secondary feature but is actually very important. If you are making a presentation with sensitive or private information, you definitely don’t want it up online where everyone can see it. This is the main problem I have found with Prezi’s basic plan. When creating your presentation, it will be automatically available on the Prezi website. This means that absolutely anyone who enters Prezi’s presentation database will be able to find it.

You can set privacy restrictions on Prezi, but only with monthly plans from PLUS ($15) and up. So if you are not willing to pay above with the basic plan, but you’re working with private information, Prezi is probably not for you.

Concerning privacy settings, PowerPoint wins by far versus Prezi. For a start, you are not forced in any way to share your presentation online. But if that is not enough, you can always password protect your PowerPoint presentation . This way, only you and the ones you share the password with will have access to it.

Prezi Templates vs PowerPoint Templates

Templates can be really useful, especially if you need to do a presentation quickly, or several presentations, and you have not much time to spend on them. The most templates options, the more chances that there is going to be one that fits your specific needs. In this point also, PowerPoint has a clear advantage over Prezi.

Prezibase has a little less than a thousand presentation templates. In my opinion, however, it is unlikely to find Prezi templates that will fit your needs exactly. Prezi prides itself on presentations with personalized paths, that depend on the speaker and the audience both. Considering this, it’s no surprise that looking for Prezi templates for your specific topic can be frustrating (plus, they are kind of hard to edit).

PowerPoint, on the other hand, has thousands (and I mean THOUSANDS) of templates ready to be used. Microsoft Office offers a great amount of them, both on the program itself as in its web. But besides all those, you can find even more templates, of every style, color, and price online. Prezi and PowerPoints Pros and Cons: Design Features

So, let’s talk about the real deal. What really differentiates PowerPoint and Prezi from each other (design-wise)? Every single article you will find online will tell you the exact same thing: PowerPoint is linear, Prezi is not. But what does this really mean?

As most people might know, PowerPoint presentations work with a procession of slides . This means you have to plan your presentation with a certain order. You’ll probably have a title slide, an introduction slide, and so on, and so on. Presenting in PowerPoint implies a certain order. After your first topic, you’ll move directly to point 2 and keep moving forward. So if you have topics that relate directly to each other, PowerPoint is great for you. Its linear presentations will allow you to showcase cause-consequence relationships and analysis.

Prezi is a feature-rich online presentation suite that aims to enable anyone to create stunning presentations, including those without any in-depth knowledge of design and related practices. It comes with various advanced tools that can help you do pretty much anything you want with your presentation, and it doesn’t take a lot of time to get used to how everything works. Prezi does have some minor shortcomings in its UI, though those are mostly limited to features that aren’t that actively used in the first place.

Online presentation tools have evolved a lot over the last decade, with the advancement of various rich web technologies that have enabled developers to do everything they want within the confines of the typical browser . Traditionally, these applications required powerful hardware, especially if one wanted to leverage their full features. Nowadays it’s a different story, with many tools offering advanced functionality directly in the browser, without requiring a strong machine. This is especially noticeable with tools where most of the processing happens on the company’s servers.

Prezi is built from the ground up with the goal of removing as many of the traditional limitations imposed by web applications, and enabling users to create stunning, rich presentations with minimal effort and design skills. It doesn’t take long to get used to how Prezi works and where everything is located, including some of the more advanced features of the application. Its price is quite attractive compared to the majority of its competition too, making Prezi a great offer all around.

Plans and pricing

Prezi is offered in three different subscription tiers though all of them include access to all three main parts of the suite – Prezi Video, Prezi Design, and Prezi Present. Prezi's Standard plan costs $5 per month, the Plus plan costs $15 per month and the Premium plan costs $19 per month. Since the three tools are meant to be used in conjunction in the first place, it makes sense that the subscription includes access to all of them, though this can create the impression that you’re getting much more value for your money. Still, all points considered, the pricing of Prezi is more than adequate, especially compared to other similar tools on the market.

A free trial is available, unlocking all features of the premium subscription for a week. That’s on top of the free tier that’s already provided by default, which can be very useful for comparing what Prezi has to offer and what some of the more advanced features can do. The company occasionally runs discounts on their subscription plans, though it can be tricky to catch those in time.

Prezi is divided into three main sections – Video, Design, and Present. Prezi Video is used for creating videos, as the name implies. It has various features to get started as quickly as possible, including recording directly from your desktop or camera, importing a PowerPoint presentation, or starting with one of the provided templates. The available templates are diverse and carefully designed, and there should be something for everyone in there.

Prezi Design, on the other hand, allows you to create more general designs that can be reused between different parts of the program. For example, you can create a design for video presentations, which you can then combine with templates in the Video creator to fully customize your content and tailor it to your own needs.

Last but not least, we have Prezi Present, which allows you to create the perfect presentation, with various features that you’ll find familiar if you’re coming in from PowerPoint or another similarly popular presentation tool. 

Interface and in use

Prezi’s interface doesn’t take long to get used to, and the program is designed in a very clean manner overall, providing quick access to all important features at a glance. Those familiar with PowerPoint should feel right at home. Which is interesting, because Prezi did not start out that way. The program was originally designed with the idea of doing everything that PowerPoint doesn’t, and improving on the rest. Its initial UI was very different from what we have now, but many users seem to agree that the changes we’ve seen in the long run have made sense.

Some of the more obscure features can take a while to find, but Prezi can make it easy to get through those obstacles with its detailed help section. You should need very little time to find your way around Prezi in the beginning, even if you’re looking for more advanced functionality. 

There’s a knowledge base with a lot of information available to anyone, and the company offers various additional forms of support on top of that, including phone support and a user forum. Phone support might be restricted depending on your account, but as long as you’re on a premium subscription, there should be very few cases where you have to explicitly request access to it. The company also provides a comprehensive workshop with lots of guide videos and other materials to get users started on their journey as quickly as possible. Self-learners should find Prezi to be an absolute delight to use, and it’s definitely aimed at those who like to research their tools on their own.

The competition

Microsoft PowerPoint and Apple Keynote are perhaps the most notable competitors of Prezi, though the application does plenty of things in its own unique way, and easily stands out on this market. It’s worth checking out some of the more prominent competitors in case you’re wondering how other companies approach the design of some common features, but it’s very likely that you’ll find yourself sticking with Prezi in the end.

Final verdict

All things considered – especially the price – Prezi is a great offer in a market with a lot of competition. It does some things in its own unique way, but in most cases, that’s an improvement over most other tools in that price range on the market.

Prezi vs PowerPoint – Which Is Better?

Prezi and PowerPoint are two popular tools for creating presentations and slides .

A Hungarian-based company, Prezi has unique features that differentiate it from Microsoft PowerPoint. Launched in 2009, it came much later than PowerPoint but has since gained a lot of popularity as a PowerPoint alternative.

Microsoft PowerPoint, on the other hand, was released back in 1987. As of now, it is probably the most well-known and most widely used presentation creation software.

Today, I will be comparing MIcrosoft PowerPoint and Prezi and explaining the similarities and differences between the two.

It will help you to pick the better of the two if you’re looking for a presentation tool for your needs.

Prezi vs PowerPoint: The Basics

Prezi set out to be different from Microsoft PowerPoint and most of the other presentation software tools that use a linear approach. In fact, it doesn’t use slides at all.

Instead, Prezi relies on visual effects, particularly the zoom feature, to allow you to present information.

Instead of showing your viewers one slide after another, you can zoom into specific sections of the canvas to reveal additional information.

On the one hand, this approach has several benefits. For example, when using linear presentations that are of any significant length, it can be easy to get lost when trying to fast-forward or rewind and find a specific slide.

Using a single canvas with sections that you can zoom into makes that a lot less likely to happen.

Furthermore, many people will appreciate the uniqueness of this kind of presentation style. Everyone is used to Microsoft PowerPoint presentations, so Prezi presentations could offer a breath of fresh air.

In one study , Prezi was found to be more engaging, effective, and persuasive than Microsoft PowerPoint. That could have to do with several things, such as Prezi allowing you to create more visually-engaging creations and its greater focus on storytelling.

Nevertheless, all of the extra visual effects can sometimes be quite distracting. Jumping from one part of the screen to another can make people feel disoriented and dizzy.

At a certain point, all of those extra effects are just extra noise. Instead of helping the viewer focus, they serve as a distraction from the actual information being presented.

In Microsoft PowerPoint, the linear approach forces you to present your ideas in slides that follow a sensible order.

Thus, while Prezi’s non-linear approach definitely has its advantages, it’s important not to overdo it.

Another thing: Prezi requires a bit more of a learning curve. Microsoft PowerPoint, on the other hand, is very intuitive and easy to figure out.

Not only can Prezi be difficult to figure out, but navigating a Prezi slide can be difficult if you are not used to it.

PowerPoint is designed to create linear presentations.

Most people will be familiar with the linear nature of PowerPoint presentations. It’s simple and allows you to present ideas in a clear and straightforward manner, with each slide presenting a new idea, quote, fact, or explanation, and with each slide building upon the information presented in the previous one.

Overall, a PowerPoint presentation is not only easy to create but easy to follow from the viewer’s perspective.

You can add as many slides as you need to, and you can delete slides as necessary.

Microsoft PowerPoint has been trying to compete with Prezi. To that end, it has introduced its own zoom feature, which allows you to zoom into specific sections of a slide and reveal additional details and information.

With summary zoom, you can see all of the pieces of your presentation and skip between one part of your presentation to another without any limitations, in any order.

Overall, though, the zoom feature is not as developed in PowerPoint as it is in Prezi.

PowerPoint vs Prezi: Offline vs Online

Prezi is a completely online software. The presentations are designed to be created and stored in the cloud.

You will get shareable links that you can give to your viewers so they can view your presentation online. Whenever you want, you can revoke access to those links.

Prezi does have an offline desktop app, but you have to upgrade to a more expensive plan to use it. That means that creating presentations can be tough if you have a slow internet connection.

Not only that, but you can’t download your presentations and present them offline either, unless you upgrade to the more expensive plan. Your viewers must have good internet as well for them to view your presentations without any lags.

That’s a significant downside of using Prezi.

PowerPoint, on the other hand, was originally designed to be used offline. However, you can now use PowerPoint online with Microsoft Office for the web, formerly known as Microsoft 365.

Using Microsoft Office for the web, you can not only create presentations online but share them online as well. You can also collaborate with other people while creating your presentations.

You can download Microsoft PowerPoint presentations for offline viewing, but the viewer will need software that they can use to open the file. If they don’t have Microsoft PowerPoint, there are alternatives – for example, they can convert the file into a Google Slides presentation and view it in Google Docs.

Prezi vs PowerPoint: Animations, Images, & Visual Effects

Prezi is amazing for adding visual effects to your presentations and slides. In fact, users can enjoy a massive library of over 500,000 images and 80,000 icons.

Not only that, but Prezi offers in-app image editing tools , so you don’t have to edit your images in a third-party app.

However, these premium images are not available to free users; you must be a paying user to access them.

There are also many visual animations you can add to your presentations, all of which can be found in the animations sidebar. Available animations include, but are not limited to:

• Fade in and fade out, whether for single items or multiple items
• Zooming into a specific area of the screen
• Zoom out to give viewers a clearer view of the big picture

Note that you can arrange these animations so they appear in a specific order during your presentation, sort of like how different slides will appear in a specific order in a single PowerPoint presentation.

PowerPoint also gives you access to a wide range of visual effects and animations , including”

• Fade (an item – text or image – gradually fades into view)
• Fly in (an item flies in from the bottom or side of the screen)
• Split (two halves of an image or text come from each side to form one)
• Wipe (the item is wiped into place from a specific direction)
• Zoom (the item zooms in)
• Blinds (the item comes into view from behind window blinds)
• Grow/shrink (the item grows then shrinks to a specific size)

The reverse is usually also possible. For example, the reverse of the fly in is the fly out.

There are many other visual effects available as well. For a full list of the different effects and what they do, see here .

As an aside, that list applies to Microsoft PowerPoint for the web. The desktop application has additional animations and visual effects not available in the online software.

Not only that, but PowerPoint also has a stock library of licensed photos that you can insert into your presentations. You can also search the web for creative commons pictures .

PowerPoint vs Prezi: Creating Videos

Prezi has a new tool called Prezi Video, which allows you to create short, highly-engaging videos instead of presentations. You can share these videos so viewers can watch them on demand, whether you’re creating an:

• Instructional video
• Virtual event
• Advertising video
• Sales pitch
• Or anything else

Microsoft PowerPoint isn’t a video creation software, but that doesn’t mean you can’t make videos with it. You can turn any PowerPoint presentation into a video, downloading it as a video file so users can watch it on any device or turning it into a special PowerPoint slideshow that runs on its own in the PowerPoint app.

By default, the video will spend five seconds on each slide before moving onto the next one, but you can always change that. You can also record voice narrations and laser point movements in your video, and it will include any animations and transitions you have added to your presentation.

Overall, though, when it comes to creating videos, Prezi wins.

Prezi vs PowerPoint: Creating Charts & Graphs

Prezi has a tool called Prezi Design that allows you to create beautiful charts and graphs for data visualization, including:

• Infographics

You can animate your bar charts with visual effects, add video covers or animated GIFs, and use filters and colors.

However, Prezi Design goes beyond graphs and charts and allows you to create other content, such as:

• Marketing posters
• Social media posts
• Email headers

You can download the files in different formats or publish them online, granting access with a share link.

Overall, Prezi Design is an awesome tool that can even replace existing design tools such as Canva. You can see examples of designs created in Prezi Design in the gallery .

It’s also possible to create charts and graphs in PowerPoint and insert them into your presentations. However, the charts and graphs are a bit more basic looking, and if you have a large amount of data, you should create them in Excel and then copy it into PowerPoint.

Different chart types include:

The charts are customizable; you can edit the colors, data labels, axis titles, and more.

Technically, you can also make posters and other types of visual media in PowerPoint, but it loses out to Prezi Design as a design tool. Prezi Design is simply more advanced and intuitive when it comes to designing posters, banners , etc.

PowerPoint vs Prezi: Live Presentations Over Zoom

One of the major advantages of Prezi is that it makes it easy to present presentations when working remotely or for distance learning.

Prezi Video integrates not only with Zoom but with other video conference tools commonly used for remote working and distance learning. Those include Google Meet, Microsoft Teams , GoToMeeting, GoToWebinar, and Webex.

You can present your presentation, along with its visual effects, while still showing yourself on the screen in the foreground. Your viewers can follow along and even engage in real time using emojis, on-screen text, and GIFs.

Many people don’t realize it, but you can run PowerPoint presentations over video, in real time, in Microsoft Teams. As a presenter, you can engage with your audience over chat, see raised hands, answer questions, and more.

You can control how your camera appears in the presentation and use tools, such as the laser pointer, highlighter, and eraser, to clarify various things to viewers.

Despite both PowerPoint and Microsoft Teams being owned by Microsoft, you’re not limited to Microsoft Teams. For example, you can also use it in Zoom .

You can not only share a PowerPoint presentation in Zoom, but you can even allow viewers to browse through the slides on their end without it affecting you or others.

Prezi vs PowerPoint: Templates

Prezi has a decent selection of presentation and video templates for businesses, teachers, students, and others.

You can even import PowerPoint templates, and Prezi will convert them into Prezi templates.

PowerPoint wins when it comes to templates. The truth is that the templates offered in PowerPoint itself are nothing to be amazed at.

They’re sometimes outdated, and there aren’t as many available as you may like. They work for simple presentations, but if you want to be unique, you’ll need to look elsewhere.

Fortunately, though, due to the popularity of Microsoft PowerPoint, there are thousands upon thousands of templates available on third-party sites, both free and paid ones.

PowerPoint vs Prezi: Other Things to Consider

Prezi has a “wow factor,” which PowerPoint, being around for so long, does not. While you can get creative in PowerPoint and add all types of visual effects, images , videos, and even animations, most people will be familiar with the general format, making your presentation a bit more boring.

There is a sense of doom that many people experience when they have to attend a class or go to a meeting and see yet another PowerPoint presentation. Your attendees, employees, or students might be dreading showing up.

On the other hand, Prezi is exciting, new, and fun. Most of all, Prezi lets you tell a story, skipping from one section of your presentation to another based on your story flow.

With its varied visual effects, Prezi can be quite engaging. On the other hand, its unique style can also be its downfall.

For people used to seeing PowerPoint presentations, a Prezi presentation might be interesting at first, but it’s easy to get overwhelmed and confused. Many people report getting confused and even dizzy from the constant zooming in and out and jumping from one thing to another.

If you aren’t smart in how you create your Prezi presentation, it’s easy to overdo it. Be careful not to focus too much on the show aspect at the expense of presenting data in a clear manner.

Creating a PowerPoint presentation is often a lot easier than working with Prezi. You might find yourself getting frustrated trying to create a presentation in Prezi that flows and is actually easy to follow.

After all, if it isn’t broken, why fix it?

One of the major advantages of Prezi over PowerPoint is that it is free to use, albeit with significant limitations.

Using the free Basic plan, you can create up to five visual projects. It gives you access to all three tools, though: Prezi Video, Prezi Present, and Prezi Design.

Here are some of the limitations you will face:

• Videos are limited to 15 minutes
• You can’t download videos, design projects , or presentations
• You can’t run presentations in live video conferences
• Images from the image library are not available
• Videos have a watermark

Premium Plans are available as well. Here are some further details:

• Standard : At just $7/month, this plan gives you access to premium images, the background remover, the PowerPoint converter, and more. Videos are still limited to 15 minutes and have a watermark, and you still can’t present presentations offline.
• Plus : At $12/month, this plan gives you most of Prezi’s premium features, except a few. You can download videos, run presentations offline, remove watermarks, add voiceovers to presentations, create videos with no watermark and no time limit, and more.
• Premium : For $16/month, you will get access to premium features such as callouts, SQL connectors, and presentation analytics. Premium subscribers also get phone support.

The good news, though, is that Prezi is not only cheap, but it’s even cheaper for education. Students and educators with a valid school email address can sign up for the EDU Plus plan for just $3/month, which is equivalent to the regular Plus plan, which typically costs $12/month.

The EDU Pro plan, which is similar to the regular Premium plan, costs just $4/month.

Prezi is also available for brands with teams of at least 10 members. You’ll have to discuss pricing with Prezi directly for that.

You have two options when it comes to Microsoft PowerPoint. The first is buying the downloadable software – that’s the traditional way.

For just $159.99, you can get lifetime access to PowerPoint on a Mac or Windows (Windows 10 or 11). That might sound expensive, but remember, it’s a one-time fee, which means in the long run, it could be cheaper than Prezi.

However, you can also get PowerPoint as part of Microsoft Office for the web (also known as Office 365) for a monthly or yearly subscription.

It costs $6.99/month or $69.99/year. While you must renew your subscription each month or year, it gives you access to all Microsoft Office products in the cloud, including:

• Microsoft Defender antivirus

It also gives you 1 TB of online storage and the ability to use Office on up to five devices, including Android, iOS, Mac, and Windows devices.

However, that’s only for one person. Office Family (for up to six people) costs $99.99/year.

For a small fee, you can get Microsoft PowerPoint online, on multiple devices, and you can even get it for free if you have a valid school email address.

With the added zoom feature and wide range of animations, you can create visually-appealing and engaging presentations without losing out on the ability to create simple, linear presentations.
