Repeat your contact information (name, phone number, and email) at the end of the letter, just in case the employer needs it for quick reference.

The best letters are unique, tailored to the job description, and written in your voice — but that doesn’t mean you can’t use a job cover letter template.

Great cover letters contain the same basic elements and flow a certain way. Take a look at this cover letter structure for ref erence while you construct your own.

1. Add a header and contact information

While reading your cover letter, the recruiter shouldn’t have to look far to find who wrote it. Your document should include a basic heading with the following information:

  • Pronouns (optional)
  • Location (optional)
  • Email address
  • Phone number (optional)
  • Relevant links, such as your LinkedIn profile , portfolio, or personal website (optional)

You can pull this information directly from your CV. Put it together, and it will look something like this:

2. Include a personal greeting

Always begin your cover letter by addressing the hiring manager — preferably by name. You can use the person’s first and last name. Make sure to include a relevant title, like Dr., Mr., or Ms. For example, “Dear Mr. John Doe.”

Avoid generic openings like “To whom it may concern,” “Dear sir or madam,” or “Dear hiring manager.” These introductions sound impersonal — like you’re copy-pasting cover letters — and can work against you in the hiring process.

Be careful, though. When using someone’s name, you don’t want to use the wrong title or accidentally misgender someone. If in doubt, using only their name is enough. You could also opt for a gender-neutral title, like Mx.

Make sure you’re addressing the right person in your letter — ideally, the person who’s making the final hiring decision. This isn’t always specified in the job posting, so you may have to do some research to learn the name of the hiring manager.

3. Draw them in with an opening story

The opening paragraph of your cover letter should hook the reader. You want it to be memorable, conversational, and extremely relevant to the job you’re pursuing. 

There’s no need for a personal introduction — you’ve already included your name in the heading. But you should make reference to the job you’re applying for. A simple “Thank you for considering my application for the role of [job title] at [company],” will suffice.

Then you can get into the “Why” of your job application. Drive home what makes this specific job and this company so appealing to you. Perhaps you’re a fan of their products, you’re passionate about their mission, or you love their brand voice. Whatever the case, this section is where you share your enthusiasm for the role.

Here’s an example opening paragraph. In this scenario, you’re applying for a digital marketing role at a bicycle company:

“Dear Mr. John Doe,

Thank you for considering my application for the role of Marketing Coordinator at Bits n’ Bikes.

My parents bought my first bike at one of your stores. I’ll never forget the freedom I felt when I learned to ride it. My father removed my training wheels, and my mom sent me barrelling down the street. You provide joy to families across the country — and I want to be part of that.”

4. Emphasize why you’re best for the job

Your next paragraphs should be focused on the role you’re applying to. Highlight your skill set and why you’re a good fit for the needs and expectations associated with the position. Hiring managers want to know what you’ll bring to the job, not just any role.

Start by studying the job description for hints. What problem are they trying to solve with this hire? What skills and qualifications do they mention first or more than once? These are indicators of what’s important to the hiring manager.

Search for details that match your experience and interests. For example, if you’re excited about a fast-paced job in public relations, you might look for these elements in a posting:

  • They want someone who can write social media posts and blog content on tight deadlines
  • They value collaboration and input from every team member
  • They need a planner who can come up with strong PR strategies

Before you start writing your cover letter, find out more about the company you're applying for. Look at their website and LinkedIn . The research also includes looking at the job description very closely and identifying any recurring keywords. Also, search for specific cover letter examples for the role online.

Placed at the very beginning of your cover letter, the header is where you include your contact information (i.e. your full name, email address, phone number) and the company's contact information (i.e. the manager’s or recruiter’s name, job title, department, the name of the company, company’s address). 

When in doubt, try to use this formula: Number or Trigger word + Adjective + Keyword + Promise.  The result can look something like this: 5 Ways I Can Help You Improve Your Company’s [insert a position-related keyword]

If the name of the hiring manager isn't written in the job posting, research their name and contact information online. For example, look at the company's page or LinkedIn. Then, greet them by saying "Dear [first name]" . If, however, the company culture is very formal, go for the classic "Dear Hiring Manager" .

The first paragraph is the perfect place to shortly explain why the job seems exciting to you and why you’re the right person for it .  You can also compliment the company or name a mutual acquaintance who referred you.

Try to answer these questions: 1. What did you do at a previous position that gave you relevant experience?  2. How could this experience help the new company grow? 3. Which of the projects you have worked on would benefit their business? 4. Which of your skills make you well-equipped for the position?  5. Do any of these skills give you an edge over other candidates?

The following questions should help you : What excites you about the idea of working at this company? How do the company goals align with your own? What do you hope to gain and learn from working there?

In the cover letter closing paragraph : reiterate that your experience and enthusiasm make you a great candidate, add a confident call to action, express gratitude, and always use a formal sign-off.

You can either attach the cover letter as a separate document in the email when sending your resume , or send it directly in the body of the email (that way they can't ignore it).

Step 1: Prepare and do some research

  • Find out more about the company and the position you're applying for. Spend some time on the company’s website, its executives’ Twitter feeds, and employee profiles on LinkedIn. Notice how they use numbers, questions, and interesting adjectives to promise the reader to learn something valuable.

And you can do the same in your cover letter.

When in doubt, try to use this formula: Number or Trigger word + Adjective + Keyword + Promise. 

The result can look something like this: 

  • 3 Reasons Why I’m An Excellent Fit For [Job Position]
  • Are You Still Looking To Fill The Position Of [Job Position]? This Is Why I Believe I’m Exactly Who You’re Looking For
  • 5 Ways I Can Help You Improve Your Company’s [insert a position-related keyword]

Finally, don’t forget to adjust your header to the company’s level of formality and put your headline in the subject of the email.

Step 4: Use the correct form of greeting

In this time and age, there’s no excuse for using “To Whom It May Concern.”  

If the name of the hiring manager isn't written in the job posting, you’re expected to research their name and contact information online. For example, look at the company's page or LinkedIn. 

Once you have their name, feel free to go for a personalized greeting: 

“Dear [first name]” or “Dear Mr./Mrs. [last name]” 

Honorifics (e.g. Mr., Mrs., Ms .) are more appropriate if the company’s culture is formal. 

And if you cannot find the recruiter’s name, it's okay to go for a generic: 

“Dear Hiring Manager”, or “Dear Recruitment Officer”

Alternatively, you can address the letter to the whole company team or the HR department. In this case, your greeting should look like this: 

“Dear [name of the company/department] Team” or “Dear Human Resources”

Step 5: First paragraph: Introduce yourself with a BANG!

The best way to start a cover letter is to open strong. The first impression matters the most and busy recruiters often have a chance to properly dive into only a few selected cover letters. 

So if you make your first paragraph captivating, chances are that your letter will be one of the lucky ones that actually end up being read. 

In fact, the first paragraph is the perfect place to shortly explain why the job seems exciting to you and why you’re the right person for it. 

While most people begin their letters with “I’m applying for the position X I saw in Y place,” it's a waste of space. 

Instead, open with a sentence like this:

“I’m a content marketing professional with more than 5 years of experience and I’d love to bring my ability and passion to your team.”

In the first paragraph, you can also:

  • Compliment the company. Show that you know details about the company and you’re approaching it for a reason. For example, demonstrate appreciation for what the company does. Not only will this flatter them, but it will also provide them with insight into who you are.
  • Name a mutual acquaintance if you can. This is sometimes called a “magic bullet,” as it’s the one thing that will assure the hiring manager reads your cover letter until the end. 

However, limit the introduction to 1-3 sentences. This isn’t the place to go into detail about what makes you ideal for the role — save that for the second and third paragraphs. 

Step 6: Second paragraph: Explain why you’re a great fit for the company

The second paragraph is the place where you should sell yourself and your experience.  

Here, write a short summary of your career, skills and accomplishments, tailored to fit what the company is looking for. 

You already did your research, so now it's time to ask yourself these questions and try to address them in your cover letter:

  • What did you do at a previous position that gave you relevant experience? 
  • How could this experience help the new company grow?
  • Which of the projects you have worked on would benefit their business?
  • Which of your skills make you well-equipped for the position? 
  • Do any of these skills give you an edge over other candidates?

After you’ve picked the most relevant accomplishments, put them at the start of your letter. 

However, when talking about them, avoid sounding like you’re bragging. The best way of doing this is to focus on your experiences rather than yourself . Ideally, support your claims with concrete examples.

Also, mention any other additional relevant hard skills or knowledge areas they’re looking for, as well as any qualifications.

Finally, the second paragraph is the perfect place for showing that you’ve done your research. Demonstrate that you’re familiar with some of the challenges that the company faces and present how you can help them.

Pro tip: Don’t simply repeat the same things you’ve already put on your resume. You want to go beyond that (this applies to every other section of your cover letter). 

Step 7: Third paragraph: Explain why the company is a great fit for you 

In this paragraph, you want to show that you’re serious about developing your career at this new company. And good companies want to know why they appeal to you and how will your professional relationship be mutually beneficial. 

Consider addressing the following questions:

  • What excites you about the idea of working at this company?
  • How do the company goals align with your own?
  • What do you hope to gain and learn from working there?

For example, you can say something like this: “I've seen on your website that you heavily focus on cryptocurrency projects. As a cryptocurrency enthusiast, I would love to join your team”.  

However, don’t go overboard with flattery and stay professional. 

Also, don’t say anything that isn't true or you don’t mean it, as it will probably come up again in the later stages of the application process.

Step 8: Closing paragraph: Finish strong and stay in touch

Now that you’ve nailed the main part of your cover letter, you also want to finish strong. This way, the recruiter will remember you in a good light. But how do you achieve that? 

  • Reiterate that your experience and enthusiasm make you a great candidate. This is to emphasize the two main points from the previous paragraphs. Do this in one or two sentences, not more. 
  • Add a confident call to action. In a sentence or two, you should suggest the next steps. Something like “ I would love the opportunity to meet with you and discuss the value I can bring to [company]."
  • Express gratitude. Simply thank them for their time and for considering your application.
  • Always use a formal sign-off. Something like “ Sincerely , Best wishes , or Respectfully” . Finish by typing out your full name. 

Step 9: How do you send a cover letter?

I can’t stress this enough — unless it's specifically required to attach the cover letter to the body of the email,  consider not sending your cover letter as a document attached to your email. 

Instead, put it inside the body of the email . The email itself is now your cover letter! This way the recruiter won't ignore it.

However, remember that hiring managers receive hundreds of emails a day. So if you want your email to get read, it's the subject line that's likely to play the most important part. 

As we've advised before, if you have a good resume headline, simply put it in the email subject. 

However, if you’re unhappy with the result, you have other options, too. 

For instance, if you have a reference, include it already in your email subject line: 

Referral from Jose Nachos: Pedro Tacos, candidate for a senior software analyst position

What if you're told to NOT submit a cover letter? 

Today, many companies are using online application systems that discourage applicants from attaching a cover letter. 

Instead, they have their own application systems where in different sections you're required to fill in the information you would normally place in your cover letter.  

If this is the case, just work with the format they gave you.

In other words, include the same information that you'd normally have in your cover letter but place it in the correct sections. 

And don’t forget to follow the cover letter principles: 

  • explain why you're the right candidate;
  • make it clear that you've researched the company well;
  • indicate in what way you'd be an asset;
  • mention your biggest past achievements.

Because no matter the format, you're still expected to present your skills and convey enthusiasm about the job.

Alternatively, you can also try to find a relevant manager or a recruiter online (either on the company pages or LinkedIn) to whom you can send a brief follow-up email with an attached cover letter. 

Now that we've covered the basics, there are several other tips that you should keep in mind to elevate your cover letter to the next level: 

  • Keep it short. Limit your cover letter to three to four paragraphs and a maximum of one page. Hiring managers are busy people who often don't have time for reading long texts.
  • Keep it clean and easy on the eye. Take a look at how this article is written. It’s replete with short paragraphs, sentences typed in bold letters, bullet points, and numbers. All of these make reading and searching for specific information easier. So, never send a letter that looks like an unreadable wall of text. The easiest way to achieve a sleek cover letter design is to use a pre-formatted cover letter template . 
  • Don’t risk being funny if it ’ s a company with a formal work culture. Poorly executed humor will hurt your chances rather than help. Being direct and dynamic is a much surer way to catch the recruiter’s attention than a number of jokes. On the other, if the company is smaller or known for its creative products, being original may in fact help your chances! 
  • Show, don’t tell. Usually, there’s no point in saying you’re “a dependable hard worker” or “a creative thinker.” Why should anyone believe such generic statements? Instead, offer an example of how these qualities helped you achieve something in the past.
  • Never write the same letter twice. A cover letter should always be tailored to a specific job application. Remember the previous sections? You’ve made a great effort to research the company and its hiring managers, so you’ve written your cover letter accordingly. This is a process you need to repeat with every application (ugh, I know). 
  • Check for typos. This goes without saying but make 100% sure your cover letter is without typos. There’s no reason to believe you're competent if you can't even type without errors. Moreover, typos automatically reveal almost criminal carelessness on your part, since every text editor nowadays has a spellchecking feature. 
  • Don't use any buzzwords. Your cover letter needs to be authentic and persuasive — and buzzwords are neither. If anything, they simply give the impression of you being someone who's just trying to fit a skewed idea of what an ideal corporate employee should be. Instead, focus on using relevant keywords from job descriptions.

Now, if you have no experience yet because you're just starting out or you're changing careers, writing a cover letter can be scary. However, a well-written letter can actually be your best friend.

Today, more than ever, having a catchy cover letter in your job-search toolkit is a must.

A lot of job seekers ask, “Do I really need a cover letter?” The answer is a resounding “Yes!” More often than not, writing a catchy cover letter is something people simply don't do because the overwhelming thought is that employers don't read them. That couldn't be further from the truth. 

On top of that, adding a catchy cover letter to your application can enhance the skills, achievements, and qualifications you include on your resume. Most importantly, though, a great cover letter makes you more human, more real, to the hiring manager reading your application. 

What's most critical is that your cover letter be engaging. Avoid using the same old boring content that everyone else is using. Instead, craft a catchy cover letter that grabs their attention. This is your how-to guide for doing that!

Cookie-cutter isn't the way to go

Everyone has seen cover letters that start like this, 

To Whom It May Concern:

I am writing to express my interest in the [POSITION TITLE] that I saw advertised for [COMPANY NAME].

It's a complete yawn-fest. It's boring. It's overdone. 

Since your cover letter is the first chance you get to make a solid introduction to a new employer, spice it up a bit. Use some humor, indicate that you're passionate about the job you're pursuing, and inject some of your personality to entice hiring managers to actually read what you have to say. 

What is a good opening line for a cover letter?

The main idea behind a great, catchy cover letter is that you want to tell a story. This doesn't mean you should regurgitate what's contained in your resume – no one wants to read the same things twice. It all starts at the beginning. The way you start your cover letter can make or break you.

Do you want the hiring manager to have a “Bleh” moment and toss your cover letter to the side?

Wouldn't you rather they be caught off-guard by your creativity and keep reading?

The best way to shake things up is to go off-script and write something that actually catches their attention. Here are some examples:

Show your passion: “Not too long ago, I came to the realization that my life's goals included giving back to my community through story-telling. After a lot of research, I discovered that a great way to do that was to go into Public Relations and Marketing to help connect consumers with companies to meet needs.”

Show some love: “I recently read an article about how [COMPANY NAME] was involved in improving our community by engaging employees in outreach events that…”

Prove your worth: “When I read about the job opening for [POSITION TITLE] at [COMPANY NAME], I knew I had to apply because I'd already saved my current company over $100K in logistics costs and I knew that I could do that for you, too.”

Highlight your personality: “A few years ago, I was exploring the mountain roads outside of Denver, and a stranded chicken jumped in my car – it's a funny story, I even have pictures. From that moment, I knew working with rescue animals was where I wanted my future to go.”

Now that you have their attention – write the body of your catchy cover letter

One thing to remember is that the introduction of your cover letter isn't supposed to be a monologue – keep that old adage that less is more in mind. The first paragraph of your cover letter is only meant to be a couple of sentences – just enough to pique the hiring manager's interest so they keep reading. Let's face it; it's not every day that some random chicken jumps in your car. That may be just the thing that entices the interviewer to call you in – so they can hear the story. 

The second paragraph of your catchy cover letter

The next part of your catchy cover letter should be a paragraph that transitions into how your introduction will make you a great part of their team. Without repeating all the great things you've written in your cover letter, highlight some of the skills and achievements from your career thus far to prove to them you have what it takes to be a valuable part of their team. 

The third paragraph of your catchy cover letter

You can actually write this third part as a paragraph or use bulleted achievement statements (like you'll see in the template later in this article). The idea here is to showcase your most impressive career achievements and your primary strengths. 

It's a good call to opt for bullets for this part of your catchy cover letter because if the hiring manager is skimming through your cover letter, it'll be easy for them to see what you bring to the table. Don't go crazy, though, and add a bunch of bulleted achievement statements. Stick to between three and five because you don't want the cover letter to go over one page. 

The closing of your catchy cover letter

Your last paragraph should close out the cover letter by reiterating your passion for the job and requesting an interview; this is called a call to action. After all, the whole point of writing a catchy cover letter is to get them to call you for a face-to-face meeting so you can win the job. 

The end of your cover letter is also a great place to explain faux pas in your resume or give details about why you're changing careers . You can even use this part to detail your desire to travel for work or indicate that you're relocating for this job. 

Here's what a catchy cover letter looks like

We know, instructions on how to do something is one thing, but seeing it all come together in an example is something even better. So, with that, here is a catchy cover letter example:

Would [COMPANY NAME] benefit from having someone on their team who has generated $30K in revenue, increased blog traffic by 14%, and tripled social media ROI – all in one year? Then, I'm your person. Given my background in [EXPERIENCE RELATED TO FIELD] and [EXPERIENCE RELATED TO FIELD], I know I can repeat those results for you and feel that I would make additional significant contributions to the [POSITION TITLE] you currently have available.

Throughout my entire career, I have demonstrated consistent success [SOMETHING YOU HAVE CONTRIBUTED TO] to achieve high-reaching standards and goals. During my time with [COMPANY YOU CURRENTLY WORK FOR], I've built a reputation for [MAJOR ACHIEVEMENT]. This catchy cover letter starts by discussing quantifiable achievements , which hiring managers drool over. Whenever you can deliver tangible results, the new employer will immediately know what you have to offer. 

Also, the fact that this letter indicates the results are repeatable shows that the applicant has done their research, understands the market, and is confident in their abilities. It helps the employer get the sense that the writer is genuinely passionate about their job. 

There isn't a hiring manager alive who wants to hire someone who is simply interested in earning a paycheck. Employers want employees who are dedicated and care about doing a good job.

Tailor your cover letter

You've probably heard about applicant tracking systems , also known as ATS, that companies use to weed out job seekers. Did you know that the ATS also scans cover letters?

The last sentence of the second paragraph of the template would be a great place to include that phraseology.

Catchy cover letter final tips and advice

Since the goal of your cover letter is to work with your resume to land your dream job – one of the most important aspects of anyone's life – it's critical to get it right. Let's talk about a few more things you need to know to craft a catchy cover letter that makes a strong impression and helps you win interviews. 

Use a professional letter format. You're not writing a letter to Grandma to thank her for the gift she got you, so make sure it's professional. Avoid using slang or overly casual expressions. Also, don't pack your cover letter with a lot of jargon that may or may not be understood outside of your current work circle. 

Keep it Short and Simple (K.I.S.S.). Remember the one-page rule. You're not trying to tell the hiring manager everything you've ever done in your career, instead, you're trying to pique their interest so they have a reason to call you to ask you more questions. 

Revise, edit, and do it again. Did you know that the average typed document has an average error rate of 8% ? Proofread your work, then get a friend to proofread it. After that, read it out loud to make sure it all sounds good. Cover letters, and resumes, too, for that matter, should have a 0% error rate.

Follow up. Prove that you're really interested in the position by following up with the employer if you don't hear back from them.

A cover letter is your chance to introduce yourself to a hiring manager—who you are, what you have to offer, and why you want the job—but you have an extremely limited amount of space to do it. If you really want to get noticed, you’ve got to start right off the bat with something that grabs your reader’s attention.

5 tips on how to start off a cover letter

Here are a few pointers to guide you as you use our example cover letter openings—we’re getting there, we promise!—to craft your own:

1. Avoid boring or overused openers

Recruiters have read cover letters that start with lines like “I’m excited to apply for the front-end engineering position,” or “Your job posting on The Muse prompted me to…” so often they could wallpaper their homes with them. While those are OK and still acceptable, you'll have a better shot at impressing potential employers with a less cliché opening line.

2. Be lively and personable

People like reading interesting, engaging stuff—the kind that paints a picture, tells a story, and maybe even makes them smile. People like it when you’re human, genuine, and memorable. So figure out something about yourself and your background that relates to the company or position you're interested in, and use that to build a connection.

3. Show what you bring the company

You’ll get more into the details after your opening paragraph, of course. But your cover letter opener should still tell the reader, “This person can do something for us,” rather than, “This job would really help them.”

4. Stick to the point

Your opener, while creative, should still be relevant to the job. Don’t begin by highlighting an unrelated accomplishment or recounting an anecdote that never connects back to why you’re applying for the job. Part of writing an effective cover letter is curating key information that relates to that specific job opportunity and shows the reader that you're a good fit for the role.

5. Don't start with “To Whom It May Concern”

Find an alternative to “ To Whom It May Concern .” Seriously, banish those five words from your cover letter vocabulary forever. Nowadays, this phrase is seen as outdated, overused, and even rude—especially when better options exist.

Employers want to hire people who care about what they’re doing. If you start your cover letter off talking about your passions and how they relate to the job, you’re telling the reader that you’ll be an engaged and motivated employee who’s likely to stick around. Plus, it’s a good way to tell the company a bit about who you are as a person right off the bat. Just be honest and realistic.

If truly loving data is wrong, I don’t want to be right. It seems like the rest of the folks at [Analytics Company] feel the same way—and that’s just one of the reasons why I think I’d be the perfect next hire for your sales team.

Start with admiration

Companies often want to hire people who already know, love, eat, and sleep their brand. What better to kick off your cover letter than a little flattery? Of course, remember when you’re telling a company why you love it to be specific and genuine. Because while everyone likes a compliment, no one likes obvious self-serving B.S.

I pretty much spent my childhood in the cheap seats at Cubs games, snacking on popcorn and cheering on the team with my grandfather. It’s that memory that’s shaped my career—from helping to establish the sports marketing major at my university to leading a college baseball team to an undefeated season as assistant coach—and what led me to apply for this position at the Chicago Cubs.

It was Rudy, my Golden Retriever, who first inspired me to apply to your operations assistant opening—not only have we used your app to find other dogs to play with in our neighborhood, he’s really excited about the prospect of coming to work with me every day. As I learned more about how [Company] is using modern tech to help pets thrive in cities, I couldn’t help but get excited to be part of it, too.

Start with accomplishments

For any given job, you’re going to be competing with a lot of other job seekers—presumably, a lot of other similarly qualified people. A great way to stand out in your cover letter is to highlight something about yourself—a character trait, an accomplishment, a really impressive skill—that’ll quickly show how you stand out.

My last boss once told me that my phone manner could probably defuse an international hostage situation. I’ve always had a knack for communicating with people—the easygoing and the difficult alike—and I’d love to bring that skill to your open office manager position.

Start with humor and creativity

OK, before you read any of these, we have to stamp them with a big, blaring disclaimer: Do your homework before trying anything like this—learn everything you can about the company and the hiring manager to gauge whether or not they’d appreciate some comedic relief or a bit of snark. If it seems like they would, it’s a great way to make them smile (then call you). If they don’t? Try a different approach.

In this article, we’ll discuss the most common: the application cover letter, which is what you’ll need when trying to secure a new job (usually for a currently open position). Below, we’ll recommend how to write a cover letter (including how to end a cover letter) and provide a cover letter template to help you get started!

While we can provide a cover letter template to serve as a skeleton for your writing, you’ll need to flesh out your work with important details that are relevant to you, your experiences, and the prospective job at hand. As you begin drafting these details, it’s important to remember a few essential moves that are crucial as you learn how to write a cover letter:

1) Do your research

Before you send a cover letter to an employer, it’s imperative that you have a thorough understanding of the position you’re applying for , the job’s expectations and requirements, your future role within the hierarchy of the workplace, and the overall company culture. Knowledge of these items will help you determine which of your relevant skills and accolades you should include in your letter, the person or people to whom you should address your writing, and the tone and style of your cover letter. It will also help you decide what to leave out of your cover letter. Remember to only stick to items that are relevant to the position at hand!

2) Make particular connections

Use specificity when listing your accomplishments and describing your goals. Just as importantly, describe how you as a candidate are uniquely positioned to fill this position successfully. For instance, a general and less-connected sentence might say, “I have strong leadership skills.” But a detailed, job-specific sentence might be, “As a project manager for Waterscapes, I oversaw a team of twelve employees working on the development and implementation of River Clean Up 2024, which reduced plastic waste in our local water systems by 27%. This experience will inform my future work with your company as an Assistant Director of Eco-Initiatives.”

Think of each sentence as an opportunity to illustrate potential links between your previous work and your future career. Just like answering a “ tell me about yourself ” question in an interview, this is a moment to describe your past, present, and now your future in your hoped-for job.

Does your prospective job’s company have a strong online presence? Does your future employer have a LinkedIn profile that lists publications, affiliations, or specific awards and accolades? Do you have a personal connection with your employer or someone important at the company? If so, now is the time to utilize some of your social capital and make mention of these items. Doing so adds a personal touch and makes your cover letter more memorable. It also demonstrates your willingness to research and promote the company’s culture.

For instance, if you’re applying for a position at a language-learning app company and their motto is, “Communication for All,” this specific phrase could be used as you describe your passion for making language-learning accessible, regardless of the student’s background or income.

4) Be professional

Depending on the job for which you’re applying, your overall cover letter tone may vary. If you’re applying for a job as a copywriter for a quirky astrology start-up, you might be able to include fun details about horoscopes in your cover letter. If, on the other hand, it’s a position for a tenure-track professor job at a top research university, your tone will be much more formal and will include particulars about your contributions to the field.

Regardless of the job, you should always utilize a professional font (no Comic Sans!) and clear letterhead for readability to convey your seriousness about the position. You should also always try to convey sincerity in your writing. Additionally, make sure your reader knows you really want this job and will do your best at it if you’re hired.

5) Be confident!

Now is not the time to focus on your professional faults or limitations. Now is the time to promote yourself with abandon. Focus on your relevant work experience, your strengths, your accolades, and your willingness to learn and grow in this new job.

6) Brainstorm and draft

Do not rush your cover letter! This is a professional genre of communication that signifies your intentions to advance your career. It should be treated as a formal record of your employment history. As such, spend time cultivating your writing and trimming it so that it is rich, informative, candid and attractive.

Drafting also includes editing details like spelling and grammar checks – it has long been established that simple errors and problems with writing organization can cause employers to not take your work seriously. [i] Other small details can indicate your level of seriousness about yourself and this work. [ii] For instance, if you have a personal email address like “ [email protected] , you may want to think of creating and using a separate email address that is a little more professional, like “ [email protected] .”

7) Be direct

At all points in your cover letter, it’s essential to start with the punchline. Studies have demonstrated that readers and listeners often retain the first sentence of a paragraph or presentation before their attention starts to wane. [iii] As such, beginning with your main point and following with examples to support that point is the best way to grab your reader’s attention and ensure they fully absorb your meaning.

8) Pay attention to length

How long should a cover letter be? In most cases, a cover letter should not exceed one page of single-spaced writing (about 250 to 400 words, max). Remember that your prospective employer may be reading dozens of cover letters. He or she will probably not have the time nor inclination to read an unnecessarily long cover letter.

9) Finish on a promising note

As you consider how to end a cover letter, it’s important to focus on positivity and continuing dialogue with your prospective employer. Gesture toward future communication with closings like, “I look forward to your response,” or “I look forward to sharing more with you about my previous experience and qualifications for this position.”

As you sit down to brainstorm how to write a cover letter, you may be wondering: How can I be original if I’m using a template? Aren’t I just copying what someone else has written? In short, the answer is: you can definitely use a cover letter template because templates are simply great starting points! You aren’t copying the content of the cover letter template. Rather, you are using the frame of the cover letter template to create your own original writing.

Templates are generative, meaning they are simply a beginning or prompt for your own writing and ideas to grow and flourish. Templates help you make writing moves you might not have otherwise considered. In the case of a cover letter template, using a model can be inspirational, helping you remember important details about your résumé and other job-related skills you may have forgotten. Finally, templates can combat writer’s block and help you organize your ideas into a coherent cover letter. It also needs to convey why you’re drawn to a particular job or hiring organization. See below to learn about this writing approach and how you can write a cover letter that gets you more interviews for your next career opportunity.

A cover letter is a short letter that you send when applying for a job. While a resume shows you’re qualified for a job, it doesn’t allow you to speak to employers directly like a cover letter does. In today’s job search, hiring managers don’t just need to know you’re a great employee – they must see that you’re a great employee for their organization.

That’s why writing a cover letter is useful: It bridges the communication gap between your resume and an interview. In your cover letter’s first paragraph, you can tell a manager specifically why you’re attracted to their job opening or organization. You can also reveal more about your soft skills or communication style and provide context for issues such as employment gaps . Details like these may be crucial to starting a good conversation with a manager or recruiter.

Brainstorm key points

Before starting work on a personalized cover letter, you’ll need:

  • A working draft of your resume
  • A job posting or description you plan on pursuing

Once you have those two items, take 10 minutes to brainstorm and jot down on a blank document or sheet of paper why this job interests you. What does the role or organization share with your background or goals? For instance, maybe it’s an outside sales role in an industry you’re eager to return to. Or maybe the company’s brand or business model appeals to you somehow.

Research the employer. If a job posting gives few details on the hiring company, visit their website for more info. In addition to the home page, look at their “About Us” or “Careers” pages. Also, visit any linked social media pages to see how they present themselves. Are they formal and sophisticated, or down-to-earth and approachable? Figuring out the company’s voice makes it easier to strike the right tone in your cover letter.

When you’re done brainstorming, review your notes: Do any stand out as important or persuasive? Take another 10 minutes to brainstorm and elaborate on them. Repeat this process until you have at least two or three concise sentences that speak to the job opening at hand.

2. Salutation

You must appropriately greet the hiring manager with your cover letter opening. We recommend addressing them by name — Mr. or Ms. [Last Name]. If you’re uncertain of the person’s gender, simply write their first and last name. If you can’t find their name, use a variation of “Dear Hiring Manager.” This shows you’ve researched the company before applying and you’re fully engaged in the job application process. It’s best to avoid salutations such as “Dear Sir/Madam” or “To Whom It May Concern,” as this language feels less direct and personal.

Leading with an accomplishment that you can quantify using a powerful number or metric is a great way to maximize the impact of your cover letter opening. Select an achievement relevant to the position you’re targeting, effectively showcasing your industry knowledge and expertise. Not only does this demonstrate your past success, but it also communicates how you can positively impact future employers.

Feature a mix of accomplishments that capture the most compelling aspects of your career. In addition to quantifying your achievements, be sure to provide examples of your leadership capabilities and interpersonal skills, as it’s important to show potential employers that you’re the right fit for the team’s culture. Consider adding a bulleted list of career highlights to break up the monotony of the text on the page and maximize the readability of your cover letter.

Now, that sounds a lot better.

Everyone knows cover letters and resumes aren’t the same thing—but exactly how are they different? Formatting is the most obvious and visually recognizable difference: cover letters are generally written in full paragraphs, while resumes feature specific job-related facts in bullet-point style. But the distinctions between the two goes so much deeper than surface looks! Read on for more ways in which your cover letter and resume should differ.

If you think writing a cover letter seems redundant when including your resume, you’re under the mistaken impression that the two documents serve the same purpose. Hint: They don’t. A resume is a quick way of demonstrating whether or not you’re qualified for the position. It’s a compilation of your past jobs and current skill sets—nothing more, nothing less. A cover letter gives potential employers a more multidimensional look at who you are as a professional and individual. It takes the job roles and skills listed in the resume and applies them to you as an employee and a human being.

Just as you use a different style of writing when composing an email to a friend than you do to an employer, Resume Writing Lab points out your style of writing should differ from a resume to a cover letter. A resume doesn’t allow any room for personalization and should be written as clearly and concisely as possible. A cover letter requires more research in the sense that you must figure out who is going to be reading the letter—one that begins “Dear Hiring Manager” is much more likely to be tossed in the trash than one that begins “Dear Mr. Jones.”

The differences between a resume and a cover letter may seem minor or incidental, but they add up to create two completely different documents. Nothing bores a hiring manager (and thus severely decreases your chance of scoring an interview) more than reading a cover letter that mirrors what you already wrote in your resume.

Don't make this common mistake

Many job seekers make the mistake of listing the city they're relocating to as a current location on their resumes or LinkedIn profiles, and only bring up intentions to relocate when it comes time for the interview. Instead, if you're planning to relocate later and to a certain target location, you should mention that on the top of your resume with your contact information.

During the coronavirus pandemic, there was a huge shift toward remote work and working from home. While that meant more remote opportunities during the pandemic, many employers have been rapidly returning to on-site employment again. Though remote opportunities still exist, it is important to clarify that issue as early in the application process as possible.

It should be obvious from the job description whether the position is remote, fully remote, or temporarily remote. If it isn't, you need to get that clarification during the interview! When you're not interviewing in person, it may be tempting to say you're local when you aren't.

Don't!

These lies have a way of coming out. For example, your new potential employer may need to mail you onboarding materials or notify you that you're expected to be in the office next week. Always be upfront about where you're located. Focus on the value you can add, regardless of your location.

If you aren't willing to relocate for this position, you need to be assured before getting hired that this position will remain remote indefinitely.

Your resume is the first thing that recruiters check, so it’s crucial that you’re honest! 

After all, you don’t want to omit a two-year-long employment gap from your resume, for example, only to have it be revealed during your interview. 

As such, it’s super important that you’re honest about your employment history - or lack thereof - right there on your resume. 

What’s important here is to understand that potential employers will find out about your employment gap - especially if it was a lengthy or recent one. As such, trying to hide it will only damage your application and give recruiters even more reason to believe you have something to hide. 

And, if you’re feeling anxious about it, remember that recruiters are also humans and will probably be understanding if you are straightforward about your employment gap - and about what caused it! 

#2. Remove the Employment Gap (If It’s Outdated)

Here’s some good news: if your employment gap is old, you can safely omit it from your resume entirely.

Say, for example, your employment gap is from 10 years ago. Chances are - especially if you’re a seasoned professional - that you won’t even be including jobs from 10 years ago on your resume. After all, you want your resume to be as relevant as possible (and stay within the recommended 1-page resume length). 

As such, it’s totally OK to omit employment gaps that stretch long before your recent employment history (or that are quite short, like 6-month-old employment gaps while you were between jobs). 

#3. Explain the Gap

When it comes to resumes, simply writing down the dates of your employment gap won’t cut it - it would only leave things open to recruiters’ interpretation. 

Take the following example:

The only thing that this candidate makes clear to recruiters is that he was not working for a 3-year period. Apart from that, recruiters have no way of knowing whether the employment gap was due to a valid reason or because the candidate decided to be a couch potato for some years.

This is why it’s better to actually write out the exact reason for the employment gap in-between your work experience entries.

Here’s an example that does it right:

07/2009 - 01/2012

#4. Take Advantage of a Different Resume Layout

If your employment gap is longer than just a few short months, you could benefit from using a different resume layout altogether. 

For example, the functional resume format and the combination format put more emphasis on your skills and competencies rather than on your work experience, which is a great way to shift focus from your employment gap. 

That said, taking advantage of a different resume layout does not mean you should omit the employment gap from your resume altogether . Lying is never the right way to go here, and will always end badly for you (even if you manage to get the job).

If you’re suddenly in between jobs and are worried about how this will reflect on your future job applications, get proactive! 

Instead of simply explaining your future employment gap as a “career break” or “job searching,” start a personal project and create something more valuable to put on your resume.

Here’s what you can do to address an employment gap during your interview effectively:

  • Rehearse in advance. Your best bet is assuming that you will be asked about your employment gap. That way, you can take the time to prep your answer in advance and won’t be taken back if recruiters actually ask the questions during the interview . 
  • DON’T badmouth your former employer. If your employment gap is due to getting fired, bashing your former employer won’t help you get a new position - if anything, it might make you look immature. 7 Good Reasons For an Employment Gap

There can be countless reasons behind an employment gap and, as long as it’s not related to something like, say, jail time, it shouldn’t hinder your chances of getting employed.

That said, here are some great examples of good reasons for an employment gap:

  • Family reasons. Family is super important and most recruiters are guaranteed to be understanding if your employment gap is due to family-related issues. What’s important here is to show that whatever family reason you had for taking time off work, it’s over now (e.g. if you took time off to raise your kids, make a point explaining they’re all grown up and off to school now).
  • Self-discovery. Did you take some time off work to redefine your life path and career choices? That’s totally OK - as long as you can convince recruiters that you now have your answers and won’t be leaving this job again after a year or two.

So, while there is no specific time limit for a super long employment gap, the longer it is, the harder it will be for recruiters to ignore it.

The knowledge, skills, and abilities that are essential for every leader have been divided into three competency categories by the Society for Human Resource Management (SHRM) . They include:

The SHRM's competency model identifies what it means to be a successful leadership professional, advocating that the essential leadership competencies, which have been defined by researchers at the Center for Creative Leadership, are vital for identifying and developing the next generation of leaders.

A competency model is a tool often used by HR professionals to measure the competencies an employee needs to perform their job effectively. A leadership competency model is the same, but for business leaders. Businesses will often develop a leadership competency model that is unique to their organisation, but its foundations will be a generic model, like SHRM's. 

Competencies for leading an organisation

Organisational leadership is about directing and coordinating individuals within an organisation to achieve its goals or mission. That doesn't mean that you need to sit in the top seat to have organisational leadership competencies. In fact, organisational leaders are often called “high potential” employees and they move up the ranks of their organisation, showing potential to sit in the C-suite. 

Here are some of the most important leadership competencies for leading an organisation:

1. Social Intelligence

Socially intelligent leaders are intuitive and good at reading people and understanding what they're thinking and feeling. Social intelligence is a core leadership competency, especially in a remote-working world, as the ability to communicate effectively rides on being sensitive to the emotions of others. 

With social intelligence, leaders know what to do to fit into different social situations in the organisation because they are hyper-aware of what makes people tick.

Emotional intelligence is very similar to social intelligence, in that it hinges on being able to read people and communicate effectively. But this leadership competency is about the ability to perceive, evaluate, express, and control emotions. 

According to emotional intelligence guru Daniel Goleman PhD, emotional intelligence makes the difference between a truly effective leader and the rest. The ability to use emotions to communicate with, and relate to, others effectively and constructively is second to none.

Leaders with strong people skills in the workplace are likeable yet professional, have patience, communicate clearly, actively listen, and empathise.

11. People management

The ability to manage people is an essential skill for aspiring and current leaders. It spans training, developing, motivating, directing, and managing employees. The goal of people management is to create and support a workforce that drives the organisation's goals and builds a better future for employees.  

Remember, there are key differences between a manager and a leader , and you can (and should) be a manager with leadership qualities.

The ability to lead yourself, or self-leadership, is all about motivating yourself to reach your goals. There are five main parts of leading yourself, including self-discipline, self-awareness, emotional intelligence, maintaining relationships, and taking responsibility for your actions.

Leadership competencies are valuable at any stage of your career and some people have innate leadership traits that should be displayed on their CVs. That said, leadership skills are most important when applying for managerial roles, as the job description is likely to list them as an essential requirement.

The best way to demonstrate your leadership abilities on your leadership CV is by showing achievements that were as a direct result of this skill set. For example, if the job description required a leader that had people management competencies, you might write something like, “successfully led and managed a cross-functional team of 10 members to achieve a 25% increase in sales revenue within 6 months through strategic planning and performance coaching.”

When listing your achievements in your employment history section, always remember to incorporate facts and statistics into each point to demonstrate the impact.

If there are references to specific leadership competencies in the job description that your skill set aligns with, add the required skills to the core skills section of your CV. The most common leadership competencies are:

Several people close to President Biden said on Thursday that they believe he has begun to accept the idea that he may not be able to win in November and may have to drop out of the race, bowing to the growing demands of many anxious members of his party.

One of the people close to him warned that the president had not yet made up his mind to leave the race after three weeks of insisting that almost nothing would drive him out. But another said that “reality is setting in,” and that it would not be a surprise if Mr. Biden made an announcement soon endorsing Vice President Kamala Harris as his replacement.

Some people in Mr. Biden’s camp have told Democratic allies that the president’s resolve to stay in the race has been most shaken by three developments: The decision by Representative Nancy Pelosi, the former speaker, to weigh in so strongly, new state polls showing that his path to an Electoral College victory has grown far more remote and the boycott of key party donors.

The discussions among Mr. Biden’s advisers have advanced to the point that they are talking about the best timing and other details for an announcement if the president decides to give up his bid for a second term, according to one of the people informed about the situation. While some were anticipating that an announcement could come as early as the next few days, the timing remained in flux in part because Mr. Biden is in isolation at his vacation home in Rehoboth Beach, Del., after a Covid diagnosis.

This account is based on interviews with five people close to the president, all of whom described the situation as extremely delicate and spoke on the condition of anonymity to avoid offending the president.
