Five tips to set yourself apart.

Never underestimate the power of great communication. It can help you land the job of your dreams, attract investors to back your idea, or elevate your stature within your organization. But while there are plenty of good speakers in the world, you can set yourself apart out by being the person who can deliver something great over and over. Here are a few tips for business professionals who want to move from being good speakers to great ones: be concise (the fewer words, the better); never use bullet points (photos and images paired together are more memorable); don’t underestimate the power of your voice (raise and lower it for emphasis); give your audience something extra (unexpected moments will grab their attention); rehearse (the best speakers are the best because they practice — a lot).

I was sitting across the table from a Silicon Valley CEO who had pioneered a technology that touches many of our lives — the flash memory that stores data on smartphones, digital cameras, and computers. He was a frequent guest on CNBC and had been delivering business presentations for at least 20 years before we met. And yet, the CEO wanted to sharpen his public speaking skills.

Presentation Techniques, Public Speaking & Communication Skills

The good news is, good public speaking and communication skills can be acquired. Even so-called ‘natural born’ public speakers or communicators have to learn and practise important presentation techniques over time to perfect it. Some of these presentation techniques, public speaking and communication skills are highlighted below.

These presentation techniques are derived from many expert presenters on how to elevate their presentations from “good” to “outstanding”. Whether you are an experienced presenter or novice, these presentation techniques will help you improve on your delivery while minimising any potential pitfalls.

There are three parts to this guide:

  • Planning the presentation
  • Preparing the presentation
  • Delivering the presentation

Planning Your Presentation

Firstly, determine the purpose of the presentation. For example, is it to publicise a new product, make a sales pitch or to share information about your company or institution. Having a clear purpose will ensure your audience receive the right information.

It is also important to know the profile of your audience such as their age groups, educational background, professions and income levels. Such information will help you to tailor your presentation according to their level of understanding. For instance, if you are presenting to a group of mostly technocrats, more technical terms can be used. If presenting to a general audience, more layman terms will be more appropriate to aid their understanding.

Before the presentation, it is also important to gather information about the presentation venue. These include:

  • Capacity of presentation room and expected audience size.
  • Layout of room – is it squarish, elongated or pillarless?
  • Equipment – are there sufficient projection screens and loudspeakers in the room, what is the projection screen size and what type of projector is in use (standard or widescreen?)
  • Room lighting – is there a dimmer?

Such information is important as it can affect the effectiveness of your presentation. If the room is elongated and has many pillars, your audience may find it difficult to see your projection screen. Hence, more than one projection screen may be required. Also, check whether your audience at the back of the room can hear you clearly.

It is also advisable to arrive at your presentation venue early to check and ensure the room setup is optimised and the equipment are working fine. Even if you have mastered all the presentation techniques and meticulously prepared for your public speaking assignment, equipment failure could compromise everything that you have worked so hard for.

Preparing the Presentation

Decide the outline of your presentation and how your information will flow. Then create a story around your presentation. Story-telling is one of the most effective presentation techniques as it helps to engage and connects your audience emotionally and hence, enables them to digest information more easily. Every presentation should consist of these three parts for it to flow seamlessly:

At the opening, provide your audience with an outline of your presentation and what they are expected to learn or hear from you. A vital presentation technique is to start strongly in order to grab your audience’s attention and hold it. If not, most will switch off. There are three objectives in public speaking – to inform, convince and persuade. If you fail to engage your audience, you would lose these objectives. This is especially so in the middle of your presentation as this is the time when message recall is at its lowest ebb.

Use the 10-20-30 Rule for Slideshows – This is a presentation technique used by Guy Kawasaki, who suggested that slideshows should:

  • Contain no more than 10 slides.
  • Last no more than 20 minutes; and.
  • Use a font size of no less than 30 point.

The last point is particularly important – it ensures your font size is big enough for the audience to see clearly, especially those sitting at the back of the room. It also prevents you from putting too much information on any one slide and eliminate the dreaded ‘Death by PowerPoint’.

If your audience requires more information about your presentation, you can provide them handouts after the session. Don’t give them before the presentation as many may end up reading your notes instead of listening to you. If this happens, your ability to engage them and listen to you will be lost.

Tell Stories – All presentations are a type of theatre and stories can help your audience relate to you, which reinforces what they learn. It also helps to make the presentation more effective and memorable.

However, give the audience only what they need to know, and craft your story around it.

Closing the Presentation – After spending a lot of time preparing your presentation and sharing it, make sure that you reinforce the key information by summarising them. By repeating the key points, it will refresh your audience’s memory.

There are many presentation techniques for this, but one of the most frequently used is the ‘Rule of Three’, which suggests that people generally tend to remember concepts or ideas better, when presented in threes. Some examples are ‘Reduce, Reuse, Recycle’, ‘Mind, Body and Spirit’ and the ‘Good, Bad and the Ugly’.

Work out what the three messages that you want your audience to take away before structuring your conclusion. This could be three words, phrases or sentences.

Delivering the Presentation

Build trust – Communicate to your audience the facts or quality about you, your company, the products you sell or an idea you are advocating. If you are able to gain their trust, what you say will carry more weight and sounds believable.

Be passionate to help connects with your audience – To connect with your audience, project your passion into your presentation. Be honest and enthusiastic with the audience about what you say, and your audience will respond likewise. As mentioned earlier, the objectives of public speaking are to inform, convince and persuade. You will not be able to deliver these objectives if you fail to connect with them.

Focus on you audience’s need – Always remember the main reason your audience is attending your presentation. Always bear in mind their needs and what they want to know, not what you like to tell them. Focus on your audience, make it easy for them to understand and respond to you.

Keep it Simple and Concentrate on your Key Message – Always remember what are the key messages you want your audience to take away. Tell them what benefits they will gain. To do so, communicate to them clearly while reminding them briefly throughout your presentation. You can use the ‘Rule of Three’ to emphasise your key points and make it easy for them to remember.

Smile and Make Eye Contact with your Audience – Surprisingly, even seasoned presenters have failed in this aspect. By smiling and making eye contact, you will build rapport with your audience. This helps them to connect with you and the subject you are talking about. Making eye contact can also help alleviate some of your nervousness because it gives you a feeling that you are talking to individuals instead of a mass of strangers.

Project Your Voice Effectively – Public speaking using monotone is a sure-fire way to put your audience to sleep. To present effectively, vary the speed you talk. Also, use different pitch and tone to emphasise certain points. This will make your presentation more interesting and help capture your audience’s attention.

Body Movement – Body movements can reveal much about you – whether you are confident, nervous, authoritative or weak. Some body language to avoid includes crossed arms, keeping your hands behind your back or in your pockets, looking down instead of making eye contact, and pacing back and forth. To project confidence, make your gestures open and move naturally around the stage, or even among your audience. If you want to emphasise a point on your screen, turn your body towards it while using your hand to gesture in the same direction. Your audience will naturally follow your cue.

Relax, Regulate Your Breathing and Enjoy – If you are nervous, your audience can easily sense it. One way to relax is to regulate your breathing and take deep breaths. Also, have occasional short pauses during your presentation to calm yourself down and collect your thoughts. Do not rush through your presentation and ‘get it out of the way’. You will be doing a great disservice to yourself and your audience.

Practice Makes Perfect – As mentioned earlier, public speaking and communication skills can be learned. To communicate effectively, rehearse your presentation as many times as required. One way is to video yourself presenting and you will notice all sorts of mistakes you are making. This includes the way you speak, your vocal tone, facial expression, body movements and hand gestures. You may even find yourself unconsciously making some involuntary movements. I have witnessed this before during a public speaking course when a participant kept rubbing his hand against his arm. He only realised it when the public speaking coach brought it to his attention.

Presentation Techniques

  • Today, communication skills have great importance. No matter to which sect you belong, in which language you interact or to which field you relate. The thing that matters is, do you have communication skills? Do you have capability to persuade anyone? More importantly, do people listen when you speak? If you think only great personalities can have this quality, your assumption is totally wrong. In fact, one who possesses this quality can become a great personality.
  • Secondly, your body language, it also contributes a lot in making your presentation livelier, energetic and enthusiastic, if kept positive. Conversely can cast negative impact also.
  • While giving presentation use effective body language and positive gestures. Use your hands while illustrating any point. Create variation in your voice pitch like your voice pitch to emphasize any point, and remember your voice should be audible in the entire room clearly.
  • Eye Contact is another important factor that can make you presentation friendly and relax. So, make a healthy eye contact with your audience.

Communication Techniques

  • If you are giving presentation on workplace , diversity in workforce is a very common thing thus you have to consider this very thing while preparing presentation and prepare in a certain way that everyone could easily get your point.
  • You may speak in either way i.e. formally and informally.
  • Your presentation must have a chunk of personal interaction. Means, your presentation should look like interaction instead of speech. Thus, it is advisable to use few informal words like ‘Friends’ or else like this.
  • Use verbal and non-verbal types of languages in your presentation, to make it effective and interesting.

How To Make A Gantt Chart In PowerPoint Using Shapes & Charts [+Templates]

Gantt charts are powerful visual project management tools used in presentations to showcase project timelines, tasks, and overall progress. Gantt charts are used by professionals across industries to organize and monitor projects effectively. However, creating one from scratch can be difficult if you don’t know the steps. This blog post will teach you how to make a Gantt chart in PowerPoint from scratch using shapes and charts! So, what is the wait? Let’s dive right in.

How To Make A Gantt Chart Using Tables

One of the best ways to create a Gantt chart in PowerPoint is through the use of tables! The table function allows you to show data and information through columns and cells, and enables you to effortlessly list and modify tasks, alongside start and end dates.. Follow these steps to make a Gantt chart in PPT using tables:

Adding And Editing A Table To Your Presentation

Step 1: On a blank presentation, click the “Insert” menu in the navigation bar and select ” Table.”

Step 2: Create the table by choosing “Insert Table” and add the number of rows (tasks that your project has) and columns (how long will the task take in weeks), and click on “Create” once done. 

Step 3: Highlight the first column, click on the “Layout” tab, and adjust the width, as it will house the name of your projects.  

Step 4: Highlight the entire table, click on the “Table Design,” click the “Borders” menu and select “All Borders.” Adjust the size of the table according to your needs.A

Adding Labels To The Table Columns And Merging Cells

Step 6: To add labels to your columns, in the second column and second row, type in “Week 1”. Repeat the same process for each adjacent cell.

Step 7: Once you have done that, select the rows above Week 1 to Week 4 and merge them using the “Merge Cells” option.

Step 8: In the merged cell, you can add “Month 1” and repeat the steps for the next four cells, naming them “Month 2”, “Month 3”, and so on. Once done, you can center align and bold them to make them stand out.

Coloring Coding Each Month And Adding Projects

Step 9: To color code each month separately, highlight each cell, click on the “Table Design” tab, and select the “Shading” menu to choose a color. Repeat the steps for all the months.

Step 10: In the third cell in the first column, start listing your projects in each cell. Once you have added all the projects, you can highlight the column and change its color using the “Shading” menu to differentiate it from the rest of the Gantt chart in PowerPoint.

Adding Task Bars Using Shapes And Editing Them

Step 11: Click on the “Insert” tab and select the second cell in the second row. Then click on the “Shapes” option to open a dropdown menu to choose a shape you like.

Step 12: The shape indicates the start and end week of the project, and it is adjusted accordingly to match the timeline. (For example, Project 1 starts in Week 1 and ends in Week 2, so the shape extends from Week 1 to Week 2). Repeat the process for each project.

Step 12: Change the color of each shape to match your needs by selecting each shape and in the “Shape Format” tab using the “Shape Fill” option. Click “Shape Outline” and choose no outline to make it look polished.

Adding Dates And Milestones To The Task Bars

Step 13: Double-click on any task bar to open a text box where you can add the start and end date of the project. Repeat the process for each task bar.

Step 14: Click on the “Insert” tab and choose the “Icons” button. 

Step 15: Insert your icon of choice, adjust its size, and move it on the Gantt chart to signify a milestone.

How To Make A Gantt Chart In PowerPoint

To create a PowerPoint Gantt chart, you can even use charts like the stacked bar chart (which we will use). Creating a Gantt chart in PowerPoint using the stacked bar chart is a lot more fun than creating one using a table, and it is also more professional. Here is how to create a Gantt chart in PowerPoint using charts!

Adding The Stacked Bar Chart And Entering Data

Step 1: In a blank slide in your presentation, select the “Insert” tab and choose “Chart” from the “Illustrations” section.

Step 2: Choose the “Bar” category from “All Charts” and select the “Stacked Bar” type.

Step 3: Once you select the chart, it will be added to your slide, and an Excel window will open up with a table and placeholder data that you can edit.

Step 4: In the Excel table, list down your projects in Column A, which will be reflected on the chart in the slide. As you change each placeholder text, you will see it change on the chart!

Step 5: Rename the columns titled Series 1 to “Start Date,” Series 2 to “End Date,” and the last column to “Duration” (this will be in days)  

Step 6: Format the cells under Start Date and End Date by selecting both columns, right-click on them, and choose “Format Cells” from the menu.

Step 7: This will open a dialogue box. Select “Date” from the “Category” list on the left, and choose the date format according to your needs from the “Type” menu.

Step 8: After formatting the columns, add each project’s start and end dates. (If your chart starts looking broken, don’t worry it will happen, we will fix this)

Step 9: To calculate your projects’ duration, type the formula =$C2-$B2 in the cell next to the “End Date” in the “Duration” column. Select the cell and drag it down using the small green square to apply the formula to the remaining cells. This will then fill the “Duration” column with the correct number of days.

Step 10: Now, you can remove the “End Date” from the chart in your slide to make space for “Duration” to be visible. Select the chart, click “Chart Filters” in the Series group, and uncheck the box next to “End Date.”

Formatting And Customizing The Graphic To Look Like A Gantt Chart

Step 11: Click on any of the blue bars; doing this will select all of them automatically. Right-click to open the mini toolbar.

Step 12: Select the “Fill” icon in the mini toolbar and select “No Fill.”

Step 13: Now your graphic will look a lot like a Gantt chart, and to change the color of all tasks simultaneously, click any one to select all tasks and right-click to open the mini toolbar.

Step 14: Head to the “Fill” section in the toolbar and choose a color of your preference. If you want to color each task differently, click twice on the task and use the “Fill” in the mini toolbar. You can even

Step 15: To change the title of the chart, double-click on the textbox to select it, and type the title of your choice.

Step 16 (Optional) : To apply styles and effects to the chart, you can select “ Chart Tools Format ,” where you will be able to play with various effects such as “Shadows,” “Format Axis,” and a lot more!

Feedback Skills • Positive vs. Negative Feedback • Positive feedback is more readily and accurately perceived than negative feedback • Positive feedback fits what most people wish to hear and already believe about themselves • Negative feedback is most likely to be accepted when it comes from a credible source if it is objective. • Subjective impressions carry weight only when they come from a person with high status and credibility

Types of Communication Verbal– Communication through language Nonverbal– Communication other than through spoken language. More powerful messages are usually conveyed through nonverbal cues than through words themselves. Paraverbal– Communicating not by what you say, but how you say it.

DEFINITION OF ACTIVE LISTENING Active listening is a way of listening that focuses entirely on what the other person is saying and confirms understanding of both the content of the message and the emotions and feelings underlying the message to ensure that understanding is accurate.

Rules for good listening • Deciding in advance that what a person is saying is not important means probably you'll tune out - and you could miss an opportunity to learn something and to strengthen a relationship. • It's difficult to listen if you're too tired, or preoccupied with something else - in those situations, it's best to set aside another time agreeable to both, when you are able to give your full attention.

Rules for good listening • Preconceived ideas about what someone is saying will block communication. When you keep an open mind, you are ready to learn something new. • Eye contact reassures (يطمئن) the person speaking that you are listening, and builds trust in a relationship. • Don't judge a book by its cover - important information can come from anyone, regardless of the package. • Matching your body language with your words through eye contact, a pleasant tone of voice and a warm smile conveys interest and respect. This reassures the person speaking that you feel he/she is important.

Rules for good listening • Asking questions will help the person clarify what he/she is telling you. You can show you understand by paraphrasing - repeating in your own words what the person has said.

How to be an active listener • Set the stage • Choose an appropriate physical environment • Remove distractions • Be open and accessible • Maintain relaxed, open posture that shows concentration • Ensure mutual understanding • Reflect feelings • Offer acknowledgements (say “uh-huh”) • Paraphrase main ideas • Interrupt to clarify

How to be an active listener • Understand body language • Observe position and posturing • Make eye contact • Consider expression and gestures • Suspend judgment • Concentrate • Keep an open mind • Hear the person out

Paraphrasing is simply restating what another person has said in your own words. Use phrases such as: In other words… I gather that… If I understand what you are saying… What I hear you saying is… Pardon my interruption, but let me see if I understand you correctly… Practice Paraphrasing

Summarizing pulls important ideas, facts or data together. Useful for emphasizing key points and setting the stage for further discussion. The person summarizing must listen carefully in order to organize the information systematically. Try out these summarizing phrases: “If I understand you correctly, your main concerns are…” “These seem to be the key ideas you have expressed… ” Practice Summarizing

Two basic types of questions • Closed questions: • Get a one-word response and inhibit thought. • Questions begin with who, when and which • Open-ended questions: • Invite unique thought, reflection or an explanation. • Questions begin with how, what and how come.

Practice Questioning • Rephrase the following closed questions to make them open-ended: • Are you feeling tired? • Was the last activity useful? • Is there anything bothering you?

Active Listening (not!) • Behaviors that prevent effective listening • Act distracted (look at your watch!) • Tell your own story without acknowledging theirs • Give no response • Invalidate response, be negative • Interrupt • Criticize • Give advice/solutions quickly • Change the subject • Quickly agreeing with client before they finish speaking

Conversation Skills

How to improve my conversation skills? • Don’t be shy! خجول • Communication errors can be solved. • A conversation is an interactive activity involving listening and speaking from both parties. • It’s all about listening and asking questions. • Lulls (السكتات أو فترات الهدوء)are normal. • If a conversation is going wrong, it may not be your fault.

How to introduce myself? • Greet with smile • Maintain eye contact • Give a firm handshake • Tell your name • Ask for the other person’s name • Repeat the other person’s name • Never draw a negative picture of yourself

How to have a great conversation? • Relax and forget about yourself • Listen • Ask questions • Use a friendly tone • Choose your words and questions carefully • Neither interrupt a person in the middle of his thought, nor speak on top of it • Compliment (جامل ) the other person • Thank for a great conversation
