Administrative Assistant Job Application Letter

Writing a job application letter is never easy, especially if you’re applying for an administrative assistant position. As an administrative assistant, you will be responsible for ensuring the smooth running of the office, and as such, you need to have excellent communication, organizational and time management skills.

To stand out from the crowd, your job application letter must be well-crafted, concise and persuasive. It should capture the attention of the hiring manager and demonstrate your suitability for the role. In this article, we’ll share with you tips on how to write an outstanding administrative assistant job application letter, with 7 examples to inspire you.

1. Research the Company

Before you start writing your job application letter, it’s important to research the company you’re applying to. This will give you an idea of the company’s culture, values and expectations, which you can then tailor your letter to. Go through the company’s website and social media pages to get an idea of their tone of voice and the type of language they use.

2. Address the Hiring Manager

Always address your job application letter to the hiring manager by name. If the name is not listed on the job posting, you can use LinkedIn to find out who the hiring manager is. Addressing the hiring manager by name shows that you have taken the time to research the company and that you’re serious about the role.

3. Start with a Strong Opening

Your opening paragraph should be attention-grabbing and should immediately make the hiring manager want to read more. You could start with a personal anecdote, a relevant quote or an interesting fact about the company.

4. Showcase Your Skills and Experience

In the body of your job application letter, you need to showcase your skills and experience. Start by highlighting your relevant experience and skills, and then explain how they make you the ideal candidate for the role. Use specific examples and metrics to demonstrate your achievements in your previous roles.

5. Demonstrate Your Knowledge of the Industry

Demonstrating your knowledge of the industry shows that you’re serious about the role and that you’re passionate about the industry. You could mention recent trends in the industry, or highlight any relevant news about the company.

6. End with a Strong Closing

Your closing paragraph should summarize why you’re the best candidate for the role, and thank the hiring manager for their time. It’s also a good idea to express your enthusiasm for the role and to indicate your willingness to attend an interview.

7. Proofread and Edit

Finally, before you submit your job application letter, make sure you proofread and edit it. Check for grammar and spelling errors, and make sure that your letter is well-formatted and easy to read.

What To Include in Your Cover Letter

Administrative assistant cover letter template, more cover letter examples.

When you're applying for an administrative assistant position, including a  cover letter  with your application gives you an opportunity to highlight your most useful skills and qualifications. For example, if you have a great deal of experience using a software program that’s specifically mentioned in the job listing, your cover letter is a good place to mention it.

Most employers who are hiring for  administrative assistant  roles look for candidates with strong organizational and communication skills. A solid cover letter can help you demonstrate these skills before you even have a chance to make your case in person.

Write your cover letter in  standard business letter format . Use a professional font and a font size that’s easy to read. Remember that this is your introduction to the hiring team. Be sure that your letter makes a good impression.

Try to Find a Contact Person

If you can find the name of the hiring manager responsible for filling the position, it's an excellent idea to use it. "Dear Mr. Jones" or "Dear Riley Smith" is a much more personal greeting than "Dear Hiring Manager."

A personalized greeting shows that you made the extra effort to find out to whom you are writing. Potential employers appreciate that kind of initiative.

Mention a Referral

Referrals are four times more likely to receive a job offer than other applicants. So, if someone has referred you, be sure to mention that in your opening paragraph where the hiring manager will be sure to see it.

Match Your Cover Letter to the Job

Your cover letter should be targeted to the job you are applying for. Before you start writing, it's a good idea to make a list of the qualifications, requirements, and preferences that are stated in the job posting.

Include Examples

Then you can use examples from your work experiences to highlight the skills that match what the employer is looking for in an ideal candidate.

The more closely you can match your experience to what the employer seeks in a candidate, the better your chances of getting an interview, and eventually, the job.

Carefully Proofread and Spellcheck

Before you submit your job application materials, carefully proofread your resume and cover letter. It's especially important when you're applying for an administrative position where your written communication skills will be evaluated during the hiring process.

Review sample cover letters and download the template (compatible with Google Docs and Word Online) to use as a starting point for your own letter, and see more examples below.

Hiring Committee

ABC Company 10 Broadway

Grafton, FL 33109

Dear Hiring Committee,

I am responding to your posting on Indeed for an administrative assistant. I believe my experiences in the nonprofit world, as well as my passion for the goals of labor unions, make me an ideal candidate for the position.

Here is a summary of my skills:

  • Communications
  • Nonprofit experience
  • Computer proficiency
  • Organizing office procedures
  • Training and supervisory experience
  • Public relations
  • Database maintenance

You specify that the ideal candidate will be able to take on multiple roles within the union. Since 2020, I've volunteered in a variety of capacities for Look for the Helpers, a nonprofit organization. I began as a writer/editor for their newsletter, assisted in producing various special events, and have been active in volunteer recruitment and website management. I believe all of these experiences and skills would translate well into your administrative assistant position.

Last summer, I completed a seminar at A Circle of Ten, Inc. It was an intensive workshop that explored the process of collaboration, community development, and fundraising. I now understand, more than ever, how essential unions are in ensuring a voice for employees. I am excited at the prospect of being part of the tradition that protects employee rights.

Thank you for your time and consideration. I look forward to hearing from you to arrange a time to speak further about how I can contribute to your organization.

Further things to consider when writing application letters to human resources

Further things to consider when writing application letters to human resources

Application Letters

Application letters are letters that you write to formally request for something from authority, apply for a job, or join an institution. Effective application letters will give a detailed explanation for your interest in the specific item, company, or institution. They showcase your abilities and strengths and illustrate your experience. In most cases, people write application letters to express their interest in receiving a position, attending an institution, or when applying for a visa, for instance. In all scenarios, application letters must be accompanied by the relevant documents. Application letters are the perfect tool to demonstrate something of your personality. Therefore, you should write in a professional tone setting a clear outline that allows the reader to scan the primary data quickly. Introduce yourself and briefly explain your intent and reason for the application. Address the letter with a title or name of the recipient. If your application is for a job or to join an institution, for example, you need to highlight your experience and qualification; if you are applying for a travel visa, make sure to state a clear intention for your travel. End with a positive tone and invite the recipient to contact you.

Letters to Human Resources

Letters to human resources are letters written to the personnel or department that deals with administration, training, and hiring of employees in an organization. The role of human resources personnel is to handle everything from payroll to policy issues and legal grievances. If you have a policy or legal question, a personal issue that affects your work, or a serious problem with a colleague, the first person you may want to contact is a human resources representative. The best way to begin this conversation is by drafting a letter stating your specific problem. When writing letters to human resources, make sure to follow all the rules of a formal letter. Start by addressing your letter to the right person. Write a clear subject line communicating your problem and indicating that action is needed. Set a formal and professional tone early in the conversation. Keep your sentences short and clear and avoid providing more information than is necessary. Describe the issue precisely giving a timeline of when it started. Explain what you have done or think can be done to address the issue. Request for an in-person meeting. Close on a note of anticipation to seeing the issue resolved.
