Record PowerPoint Presentations using an iPad or iPhone

Using PowerPoint for iPad or iPhone, it is possible to make a recording of your slide show. You can include voiceover/narration, and point to and draw things on the screen.

Recordings can be published to a Canvas course using Kaltura in one of the following ways:

  • Canvas: Add Media from Kaltura Using the Rich Content Editor
  • Canvas: Add Kaltura Videos to Media Galleries

  • On an iPad, you can lock the screen to be in landscape mode.
  • If using an iPhone, be careful not to rotate your phone and thus rotate the screen into portrait mode.
  • For voiceover/narration, use an external microphone . Apple headphones or Airpods are sufficient.
  • Enable Do Not Disturb on your device to prevent unexpected notifications.
  • Consider dividing your slide show into topics that are not longer than 10 minutes or so. You can group recordings together later.

To record your slideshow you will need to enable and then use the Screen Recording feature built into iPadOS and iOS. If you don't already have screen recording available, complete the following steps:

  • Select Control Center .
  • Select Customize Controls .

Presenting and Recording Your Slide Show

Use the following steps to set up your iPhone or iPad to record your slideshow.

Background recording: iPad Screen Recording with PowerPoint

  • In PowerPoint , go to the slide you wish to begin presenting.
  • Tap the Play  button.
  • From the top right of the screen, slide your finger down . The Control Center appears.
  • Tap and hold the Record  button to show Screen Recording options.
  • The button will turn red, and the text will change to say Microphone On .
  • Tap Start Recording . There will be a three-second countdown .
  • Tap the background (outside of the Screen Recording box) to return to Control Center .
  • Note : Each time you start or pause a recording, the Control Center appears.
  • To point things out on your slides:  Tap and hold on the screen.   A red dot appears that you can drag around. When you lift your finger off the screen, the dot will disappear.
  • To annotate on your slides:  Tap towards the top of the screen, then tap the Pencil icon ; when this button is highlighted, you can draw on the screen.
  • For more options:  To the right of the screen, tap the pen with the gear .
  • When you are done, from the top right of the screen, slide your finger down . The Control Center appears. 
  • Tap the flashing Record  button. Your recording will save to the Photos app.

When recording a slideshow from your iPad/iOS device's screen using the method described in this article, the resulting recording will be surrounded by black bars. You may want to crop out those black bars before uploading the video from your device.

Note: Cropping screen recordings appears to result in reduced image quality that is noticeable but not severe.

Background recording: Adding Video to Canvas Media Gallery on iPad

We recommend splitting a longer presentation (such as a 50-minute lecture) into multiple shorter recordings/topics. 

To group recordings together, such as having four parts of one lecture for a specific date, you can use Media Gallery Playlists in Canvas. Playlists appear in the Canvas Media Gallery , or can be embedded on a Canvas page using the Rich Content Editor . 

Note: It appears that when in Safari on iPad and iPhone, users cannot access the Settings button in Media Galleries to set up playlists. We have a ticket open with the vendor requesting such functions for iPad.

This wikiHow teaches you how to open PPTX files on iPhone and iPad. The latest versions of Microsoft PowerPoint (2007 and newer) save as PPTX files. If you have an Office 365 subscription, you can open and and edit PowerPoint files using PowerPoint for iOS. If you do not have an Office 365 subscription, you can still open and view PowerPoint files using PowerPoint for iOS. You can also open, view and edit PowerPoint files using Keynote. However, PowerPoint files make not work properly in Keynote.

Using Microsoft PowerPoint

Step 1 Open the App Store icon.

  • If you open PowerPoint and it displays the last presentation you opened, tap the Back arrow in the upper-left corner to display the red bar to the left.

Step 8 Tap … More.

  • If you do not see the cloud based service in the Locations menu, make sure you have downloaded and installed the app from the App Store and signed in to the app. Then tap " Edit " at the top of the Locations menu, and tap the toggle switch next to the Cloud service you have installed on your device.

Step 10 Navigate to the file.

  • If you have an Office 365 and you need to sign in, tap Sign In in the upper-right corner and sign in using the email address and password associated with your Office 365 account.

Using Keynote

Step 1 Open Keynote.

  • If Keynote is not installed on your iPhone or iPad, you can download it for free from the App Store.

Step 2 Tap Browse.

  • On iPad, Keynote opens the last presentation you were working on. Tap Presentations in the upper-left corner to return to the Recent Files screen. On iPhone, tap the Back arrow in the upper-left corner to return to the Recent Files screen.

Step 3 Tap the location the PPTX file is saved to.

  • Tap the slides in the bar to the left to view the slides. Tap and hold the text to edit the text in the slide.
  • Tap the square icon with the plus (+) in the middle to add a new slide. It's at the bottom of the slide bar to on the left.
  • Tap the 'Play' triangle to play the slide show. It's in the upper-right corner.
  • Tap the paintbrush icon in the upper-right corner to edit the slide format.
  • Tap the plus (+) icon in the upper-right corner to add images, text boxes, shapes, graphs, tables, and other objects.
  • Tap the button with three dots (…) to open the More options menu. It's in the upper-right corner.
  • To save and export your work in Keynote as a PowerPoint file, tap " … " in the upper-right corner. Then tap Export and then select tap PowerPoint .

Microsoft PowerPoint is the best application to present the project presentation. Unfortunately, the PowerPoint application is not compatible with the AirPlay feature. You can share your presentation only by screen mirroring the content from your iPhone/iPad/Mac to Apple TV or other AirPlay-compatible Smart TVs . If you’re new to AirPlay, we are here to help you. This article explains the various methods of AirPlay PowerPoint, from iPhone/iPad/Mac to Apple TV or other AirPlay-compatible TVs.

Note : Those finding WiFi connectivity issues can rely on the Digital AV adapter to screen mirror PowerPoint.

How to AirPlay PowerPoint Using iPhone and iPad

Note : The PowerPoint app is only compatible with the iPhone or iPad running under iOS/iPadOS 16 or later .

Before jumping into the steps, turn on AirPlay on Apple TV . If you’re an Android TV user, you must turn on the AirPlay on Android TV . On the other hand, connect your iPhone and Apple TV or AirPlay 2 compatible smart TV to the same WiFi network.

1. Install the PowerPoint app from the App Store on your device.

2. Next, open the PowerPoint app and sign in with the login credentials.

3. Once the home screen appears, click on the presentation tile you want to stream.

4. When it starts playing, click the Screen Mirroring icon from the Control Center of your device.

5. It will search for nearby devices. Select your AirPlay 2-enabled Smart TV or Apple TV from the available devices.

6. If prompted, enter the AirPlay Code displayed on the TV screen.

Once you have finished streaming, disable AirPlay on your iPhone to stop sharing the screen with your Apple TV/Smart TV.

How to AirPlay PowerPoint Using Mac

1. Connect your AirPlay 2 compatible smart TV or Apple TV and Mac to the same WiFi network.

2. Open the Microsoft PowerPoint app and log into your account.

3. Once you see the library, select a presentation show you want to stream.

4. While playing, click the Control Center icon and select the Screen Mirroring option.

5. Select your TV name from the list of devices.

6. Now, it will play the selected video on your TV screen.

You can stop AirPlay on your Mac when you finish streaming PowerPoint on your TV.

How to AirPlay PowerPoint Without WiFi

This method requires an HDMI cable , a Lightning Digital AV Adapter for iPhone, and a USB-C Digital AV Multiport Adapter for MacBook.

1. Connect the Digital AV Adapter to the power source using the USB-C power cable.

2. Now, connect the Digital AV Adapter to the charging port on your Mac and iPhone.

3. Connect the HDMI cable from the adapter to the TV.

4 Now, change the input on your TV to view your iPhone/Mac’s screen.

5. Finally, play the PowerPoint content to stream it on your smart TV.

If it shows a black screen on PowerPoint, it may have corrupted cache files within the app. In this case, you should uninstall and reinstall the app to clear the cache.

How to Project PowerPoint Slides via iPad, iPhone or iPod touch

It’s easy to project PowerPoint slide presentations from mobile devices like the iPad or iPhone – if you have the right tools.

One of the cool things about using the new SlideShark app to view PowerPoint presentations on your iPad, iPhone or iPod touch is that you don’t have to carry your laptop around to sales and business presentations. Of course, when presenting to large groups, you’re still going to want to project your PowerPoint slides so that everyone in the room can see them.

Fortunately, hooking your Apple mobile devices up to a TV or projector is a simple process. There  are  a few different ways to go about this though, depending on costs, needs and situation. Here are some of the primary options to choose from when it comes to  projecting PowerPoint from your iPhone, iPad or iPod touch.

#1. Go the adapter route

This is probably the simplest way to display your slides on the big screen in business meetings. Most company meeting rooms these days are equipped with either an HD TV display or, at the very least, overhead projector. Obviously, Apple mobile devices are not equipped to connect directly to either of these options out of the box.

But no matter which situation you find yourself in, you can easily connect your iPad or iPhone using the  Apple Digital AV Adapter  and a short HDMI cable. The adapter is not expensive (Apple sells it for just $39.00), and is compatible with most of the latest Apple devices. (It’s also very easy to hook up, as  this Houston Chronicle post  explains.)

#2. Go the Airplay route

For those who don’t know, the  AppleTV AirPla y  option lets you stream content (video, music, images) wirelessly from your mobile device directly to your HD TV or computer screen. I’ve personally used this option in the past to watch streaming video, and can attest to its quality. In fact, I watched an entire episode of AMC’s  Breaking Bad  during a recent trip to Europe and was amazed at how well the AirPlay feature worked.

SlideShark supports the AirPlay feature as well, so displaying PowerPoint slides via this method is no problem. However, keep in mind that the feature requires Apple TV, which I can’t imagine most business meeting rooms are equipped with at this time.

#3. Go the mini-projector route

If you’re so inclined, there’s also the option of purchasing a mini  HDMI Pocket Projector  to display your presentations. This little baby is designed to hook up directly to your iPhone or iPad (and most other mobile devices), allowing you to project your PowerPoint slides from pretty much anywhere.

Just be aware, at $299.99, this is sort of an expensive option, and I can’t imagine many companies will shell these out to everyone in their sales teams. That said, how cool would it be to walk into a sales meeting with everything you need to present – iPhone and projector – sitting in the palm of your hand? Fortunately, there are cheaper options out there to consider as well.

How to control PowerPoint presentations from your iPhone with Power Mirror

Download and install Power Mirror on both your iPhone and computer , connect devices on the same Wi-Fi , mirror iPhone to computer via AirPlay , and control PowerPoint directly from your iPhone.

  • Download and install Power Mirror : Both on your iPhone and computer . Ensure both devices are connected to the same Wi-Fi network .
  • Connect iPhone to computer : Open Power Mirror on your iPhone, tap AirPlay , and select your computer from the list to initiate mirroring.
  • Initiate PowerPoint control : On your computer, start the PowerPoint presentation. Control it directly from your iPhone through the mirrored interface.

Utilizing additional features for enhanced control

  • Enhanced Typing and Navigation : Use your computer's keyboard and mouse for more efficient control over the PowerPoint presentation, including editing slides and navigating the web.
  • Annotation : During the presentation, use Power Mirror to make real-time mark-ups on slides for a more interactive presentation experience.
  • Recording features : Utilize Power Mirror's screen recording and one-click screenshot capabilities to capture important moments of your presentation for later review or content creation.

Alternative methods for PowerPoint control

  • PPT Remote Pro : For a dedicated PowerPoint control experience, download and install PPT Remote Pro on both your PC and iPhone. Ensure both devices are on the same network for automatic PC detection and start controlling your presentation remotely.

Adding Apple iPhone Videos to Microsoft PowerPoint Presentations

Introduction

By default, iPhones (iOS) use a High Efficiency Video Format ( HEFV ), using the MOV file extension to record video. It can produce smaller file sizes with good quality, but compatibility is a problem if you’re not on a Mac.

The  ideal  solution is to change the video recording format on the iPhone to MP4. This ensures that whoever watches the video or views the video in a PowerPoint presentation will not run into any issues.

Set iPhone to Record Video in Most Compatible Format

  • Tap  Settings
  • Scroll down and tap  Camera
  • Tap  Formats
  • Tap  Most Compatible  if it’s not already selected
  • Exit Settings

  • Open the iPhone  Camera  app
  • Record your video

Upload Video to OneDrive

  • Open the iPhone  OneDrive  app
  • Click the folder you want to upload the video to and click the  +  button
  • Tap  Photos and Videos

You may need to give the OneDrive app access to All Photos. If you are not prompted for access, skip ahead to the Select Video section

  • Tap  Manage Settings
  • Tap  Photos
  • Change this setting to  All Photos  and go back to OneDrive

  • Tap  Videos
  • Tap the video you want to upload, and tap  Done
  • OneDrive will show that it is uploading and will eventually show complete

  • Open the PowerPoint presentation you want to add the video to
  • Under the  Insert  tab, choose  Video , then  This Device
  • Click on the OneDrive
  • Locate and click on the video you just uploaded, then click Insert
  • Save the presentation

For video that’s already been recorded in  HEVF  and can’t be re-shot, there are two options.

  • Purchase the High Efficiency Video Codec ( HEVC ) from Microsoft for $0.99. The problem with this option is every user not on a Mac wanting to watch the video in the PowerPoint presentation will also need to purchase the codec. To purchase, go to  https://www.microsoft.com/en-us/p/hevc-video-extensions/9nmzlz57r3t7  and follow the prompts (opens the Microsoft store).
  • Go to  https://www.videolan.org/
  • Download and install VLC Media Player
  • Open VLC Media Player
  • Click the  Media   drop-down menu and choose  Convert / Save…
  • Click  Add  under the File tab and open the video to convert
  • Click the  Convert / Save  button
  • Change the  Profile  drop-down menu to, “ Video for MPEG4 1080p TV/device ”
  • Click  Browse , select a destination, and give the new file a name
  • Click  Start
  • VLC Media Player will act like it’s playing a video, but nothing will show. When it’s done, close VLC Media Player

If you’ve converted the video to a new format, delete the old video from the PowerPoint presentation and insert the new one.

Note: If you’re not using PowerPoint and just want to play an unconverted video, just install VLC Media Player and use it to play videos

Troubleshooting

If you don’t already have the HEVC installed, the easiest way to check if a video uses HEVF is to open it in Windows Media Player. If the video was recorded using HEVF you will receive the following message:

Open the presentation, then tap . Tap Share, then tap an option for sending: AirDrop: Tap a recipient. The recipient must accept your presentation before it’s sent. Mail, Messages, or another service: Tap More to add another service to the options. You set up other services in Settings, accessible from your device’s Home screen. iCloud Drive or another file provider: Tap “Send to.” If the location you want is open, tap a folder, then tap “Export to this location.” To choose a different location, tap Locations, tap a service in the menu (you may need to turn the service on), then tap the “Move to” button to confirm. If you don’t see a service or provider in the menu, make sure it’s installed on your device. Upload to a computer, server, or file provider: Tap iTunes, WebDAV, or More (to add a third-party service). Provide the requested information (an email address if you’re sending an email, for example) then send or post the copy.

Then, you can ask ChatGPT to export the presentation to PPT format, which will generate a slide deck made of blank slides containing text. If you prefer a better outcome from AI for making PowerPoints, browse for PowerPoint templates and paste the content generated for each slide. You can even copy the demo images and ask ChatGPT something like: “Based on this chat, give me the content to fill this PPT template” while using the image upload function.

Our AI tools can help us tailor the selection of PPT templates by suggesting the kind of presentation we’re creating from that content, among other functionalities. Follow the upcoming suggestions to select a PPT template from your converted PDF content.

  • Analyze the Content: Determine the nature of your content. Is it formal, technical, creative, or educational? This will influence your template choice.

If you’re working in data and want to start exploring AI, there are platforms like Coursera where you can enroll for comprehensive courses on AI, machine learning, and data science. You can also seek out mentorship and engage with various AI and data science communities on Reddit (r/MachineLearning) , Stack Overflow , and LinkedIn groups dedicated to the topic.

The good news is that every industry can benefit from good data. Everything from social media to manufacturing (and everything in between) can benefit from the information that data jobs provide, so learning how to use AI in this case is guaranteed to be a solid investment for your career.

Whereas recruiters used to manually sift through hundreds of paper resumes daily, AI-powered ATSs can now automatically screen and rank candidates based on predefined criteria, significantly simplifying the recruitment process while also reducing bias.

As mentioned earlier, AI is poised to revolutionize education, making learning, development, and training a key area for transformation. For example, instead of using a generic training module, AI can create personalized programs catering to an employee’s individual needs, greatly enhancing the program’s effectiveness.

AI’s usefulness for HR doesn’t end there. With the correct data, AI can optimize engagement programs, automate the onboarding process, and track employee progress more efficiently than ever.

So, if you’re an HR professional already comfortable (or at least familiar) with AI tools, then you can take the lead in exploring which tools you can use to hit, if not surpass, your KPIs.
